Planning Working Hours

The planning of working hours is important for work organization in a company. The working hours are the time, when an employee is available to the employer. Working time includes breaks and justified absences from work. A full-time employee is entitled to a 30-minute break per day.
The following case presents how to plan working hours for an employee in PANTHEON.

CASE SUMMARY
Heather Human, the person responsible in the Tecta company wants to plan working hours for William Worker, a worker in manufacturing. Heather copies the planned working hours to William's Employee File and Calendar. This is done as follows:
- Selecting the Employee in Employee Files
- Entering Data in the Planned Panel
- Copying Working Hours
- Entering Planned Working Hours into Employee Files

Entering Planned Working Hours into Calendar

1. Selecting the Employee in Employee Files
First, the person responsible finds the worker in Employee Files, where the employee's data record is kept.
The person responsible sets the employee's working hours in Personnel | Employee Files.
Using navigation keys, the person responsible finds William Worker in the taskbar.
In the Employee Files, the person responsible opens the Working Hours panel.
Panel is divided into four sub-panels:

2. Entering Data in the Planned Panel
In the Planned panel, the person responsible sets the employee's working hours.
In the Filter From / To, the person responsible limits the planning dates.
In this case, the person responsible selects the period from 1.4. to 30.4.2022 (as shown in the image below).
From the drop-down menu in the Category field, the person responsible selects the Category type.
Category y types are created in the Calendar Entry Types Register | Working Hours.
In this case, the person responsible selects: R – Regular Work.

HINT
This data is taken into account in the Tasks panel.

Into the Working Hours, the person responsible enters the working hours regime that is going to be defined for the worker.
Because the selected worker works one shift, the person responsible selects the regime 1 – One Shift.
The person responsible defines the date From which on the working hours are to be copied.

3. Copying Working Hours
To Copy Working Hours, the person responsible clicks the
(Fill In Calendar) button.
A window opens, where the ID field is automatically filled in.
In the Start field, the person responsible selects the "current date" or the date the cycle starts.
In this case, 3.1.2022.
The person responsible can mark the Read from Empl. Files checkbox, so the program takes into account data about Working Hours from the Employee Files and freezes the fields.

The person responsible defines the Period when the copying is started and ended.
The person responsible clicks the Copy button.
A confirmation window appears: Do you really want to copy the working hours to the calendar?

The person responsible clicks the Confirm button.
The program shows a message when the copying is finished.

WARNING
When Copying the planned working hours, a check is made regarding the monthly fund of hours from the Average Salaries Register.

4. Entering Planned Working Hours into Employee Files
Data about planned working hours are entered in Employee Files Working Hours | Planned.
In this case, the following entry appears for William Worker:

In April, the worker is planned to work all workdays from 8:00 to 16:00.
5. Entering Planned Working Hours into Calendar
The working hours have also been copied to the employee's Calendar.
The person responsible accesses the employee's Calendar from the Employee Files | Working Hours, by clicking the
(Absence Overview) button.
