bizBox Mailbox settings

PANTHEON

To send or receive bizBox e-documents through Mailroom, as well as to import them to eDocumentation, you need a Mailbox, through which eExchange will run. For the Mailbox, certain settings must be defined.

On the Datalab Web Service, BizBox Mailbox is available, through which sending and receiving e-documents from bizBox runs.

HINT

For more detailed information about mailboxes, see the chapter Mailboxes in the technical manual.

 

IMPORTANT

Before defining settings for bizBox mailboxes, you must be registered on the bizBox portal.

 

This chapter presents a use case of setting a bizBox Mailbox and defining its settings.

CASE SUMMARY

The person responsible wants to use Mailroom to send or receive e-documents from bizBox. First, the person responsible must register on the bizBox portal, transfer the Mailboxe and equip them with correct settings.
This is done as follows:

  1. Registering on bizBox
  2. Transferring bizBox Mailboxes via Web Service
  3. Defining Mailbox header settings
  4. Defining Mailbox settings on tab Settings
  5. Defining Mailbox settings on tab eWorkflows
  6. Defining Mailbox settings on tab Classification
  7. Defining Mailbox settings on tab Task Autorun

1 Registering on bizBox

To successfully set the bizBox Mailbox, the person responsible first registers on the bizBox portal.

  • Next, the person responsible transfers Mailbox via Web Service.

2. Transferring bizBox Mailboxes via Web Service

The person responsible selects Settings | Program Administration Panel from the menu, then goes to the Settings | Documentation | Mailboxes panel.

In the toolbar, the person responsible clicks the (Import/Export Data) button and selects the option Transfer registers from the list.

The person responsible follows the procedure described in the chapter Transfer Registers – Mailboxes and transfers bizBox Mailbox via Web Service.

After transferring the Mailboxe, the person responsible defines required settings in Mailbox header.

3. Defining Mailbox header settings

In the search field on the Mailboxes panel, the person responsible clicks the button, finds the Mailbox using the search engine and selects it. In this case: BizBox.

In the Name field, the name of the Mailbox that was transferred via Web Service is already visible.
 

HINT

The Bizbox Mailbox Icon visible in the Mailroom is preset by default, but it can be customized by clicking on the icon and selecting a different one from the gallery.


In the Login field, the login with login data for bizBox, which is created in Logins register is selected. 

HINT
  • In the Classification field in header, the primary classification for the mailbox is set. However, in the case of BizBox, the classification is configured separately under the Classification tab for each individual document type.
 

In the next step, configure the settings on the Settings tab.

4. Defining Mailbox settings on tab Settings

On the Settings tab, transferred operations and their data is visible.

From the list in the Subject field, the primary (default) company is selected.

HINT
  • The Identify field is an additional option that enables establishing a secure connection with the service provider.

 

IMPORTANT
  • The Log tab displays a log of events (transfers via mailbox).
  • Tab Dates displays the last checked date for document statuses in the mailbox.

In the next step, configure the settings on the eWorkflows tab.

5. Defining Mailbox settings on tab eWorkflows

 

On this tab, eWorkflows are linkted to Mailbox.
From the dropdown list select bizBox eProcess:

  • Receive e-document from Bizbox

and

  • Send e-document to Bizbox

HINT
We can edit or add necessary Bizbox eWorkflows from Web service in Workflow design register.

 

IMPORTANT
When eWorkflow is linked to the mailbox, mailbox is visible in the Mailroom. Each added eWorkflow is displayed as an action button on the Mailroom form.

In the next step, configure the settings on the Classification tab.

6. Defining Mailbox settings on tab Classification

Here, default classifications are set for specific types of received Bizbox e-documents, such as invoices and orders.

IMPORTANT
If nothing is specified in this tab or the type received is not specified, documents will be classified according to classification set in Classification field in the Header of the panel.

Responsible person sets default classification for incoming e-Invoices.

In Doc. Type select a import document type from Document Types register.

In Classification select classification for the receiving e-Invoices from the Classification Scheme register.

In Type field enter INVOICE as a type provided by the service provider.

IMPORTANT

Providers have their own list of document types and can provide same document, with different document types.

This functionality is used for BizBox only. Examples of BizBox document types:

  • POVRATNICA
  • INVOICE
  • DESADV
  • ORDRSP
  • ORDERS, etc.

In the next step, configure the settings on the Task Autorun tab.

HINT

 

6. Defining Mailbox settings on tab Task Autorun

Tab Task Autorun allows to set task automation for the mailbox eWorkflows.
Responsible person wants to set task autorun for receiving BizBox e-documents.

Select button Add "BizBox" eWorkflows to transfer them to tasks list.

For the selected eWorkflow Receive e-document from BizBox define the settings:

  • In filed Run select Recurring for repeating task.
  • In filed Start todays date as a start of the repeating task.
  • In field Repeat Every 1 Hrs for repeating task every hour.

To run task true PAAS  select checkbox Run on Automation Server and set desired Max. Duration.
 

HINT
If checkbox Run on Automation Server is unchecked, which is default, task is executed on client PANTHEON running under user selected in Users tab.

Save the mailbox by clicking the (Post edit) button.
