New employee

 

Clicking on the New employee button opens a panel for adding a new employee.

The panel can be logically divided into five parts:

  1. Command line - with the buttons to Save or exit this panel
  2. General - data about the employee
  3. Birth data
  4. Other data
  5. Hidden panel with the list of all entered employees for quick access

 

1. Command line

The command line now changes and shows the buttons:

New employee

Opens an empty panel for adding a new employee.

Save

Saves the employee into the register.

X (Cancel)

Returns you to the employee list.

 

2. General

The form for adding general data about an employee has the following fields:

Active

Enable this toggle button to show that the employee is employed in the company.

Code

Employee code – the first and last name can be used.

Code is mandatory data. If you do not enter it, the program marks the field red and does not let you save the employee.

Registration num./ID

Unique registration number or employee ID within the company. Registration or ID number is not the national ID number, but the number assigned to the employee upon entering the company as their ID.

If the registration number is repeated, the program issued a warning message.

First name

Enter the employee’s first name. Data from the code can be transferred into this field.

Last name

Enter the employee’s last name. Data from the code can be transferred into this field.

Status

From the drop-down menu, select the employment status: Apprentice; Contract; Full-time, Permanent; Full-time, Temporary; Part-time; Retired etc.

Statuses are used to follow up different job types in the company.

Job

Select or enter employee’s job – position of employment. This data is intended for human resources management and developing the employee’s history of positions inside the company.

Department

Enter the department where the particular job is positioned.

Leader

From the drop-down menu, select the person superior to the employee currently added. This data is important for confirming travel orders and (annual) leave requests.

Nat. ID no.

Enter the national personal identification number. For foreigners, enter the foreigner’s personal ID number.

The program has an integrated personal ID number control and issues a warning in case of an incorrect number. The program also issues a warning and stops the procedure if you mistakenly enter the personal ID number of an already-entered employee: Nat. Reg. No. already in use.

Tax no.

Select the two-character country code from the Countries register and enter the employee’s tax number. The program has the following integrated control mechanisms:

  • The tax number is incorrect, the program issues a warning message: The tax number contains an error (control number)!
  • The length of the tax number is incorrect; the program issues a warning message: Length must be 8 characters.

Gender

Select the employee’s gender.

Nationality

From the drop-down menu, select the employee’s nationality.

 

3. Birth data

The section for adding birth data about an employee in the right has the following fields:

Birth date

From the calendar, select the birth date. Entering a correct national personal ID number automatically fills this data in.

Birth place

Select or enter the postal code and the place name is automatically applied. Regardless of the entered postal code, the birthplace can also be changed.

Birth country

From the drop-down menu, select the country of birthplace.

 

4. Other data

The section for adding other data about an employee has the following fields:

Vehicle registration number

Select the employee’s vehicle registration number from the Vehicles register. Here, only these numbers can be selected that have been previously added and are marked as active in the Vehicles register.

Company vehicle

Enable the toggle button if this is a company vehicle and it is entered in the Fixed assets register. This data is used in Travel orders.

 

After entering all the required data and clicking on the  (Save) button in the upper-right corner of the panel, the employee is saved and shown with their personal data in the top. This section shows the option to Change contact information.
