Item Groups - Classifications

Selecting the desired group or level of direct items:

  • On the left side of the screen a button field of any size can be prepared which represent item groups or levels. This field is formed automatically when items and groups are imported from the item database (register) to the newPOS program. The sequence of groups is identical to the one in the database and the colors of the buttons are all the same. With the button editor (see Touch Menu) you can change the size, color, sequence and names of the buttons. You can also assign a picture to a button.
  • Each button has an item assigned to it. This way you can enter any number of direct buttons for items on the touchscreen. For example, items or groups called PIZZAS will also show all the buttons that have been manually added into the same window and they represent possible additions to the items.

 

 

 

 

 

 

Item Shortcuts

Selecting direct items with the help of buttons for direct access to the item:

  • On the left side of the screen, to the right from the buttons for article groups (Item groups - classifications), a button field that represents items can be prepared. This field is generated automatically when items and groups are imported from the item database (register) to the newPOS program. The sequence of groups is identical to the one in the database, the colors of the buttons are the all the same, and all direct buttons for items are automatically subordinated to each of the item groups. With the button editor (see Touch Menu) you can change the size, color, sequence, names of the buttons, and their affiliation to a group.
  • These buttons serve as quick manual access to individual items. With one press of the item button, only ONE unit of the selected item will be added to the document. There are two ways of selecting larger quantities; The first one is to select the desired quantity of the item on the numeric part of the function keyboard, then press the * button on the same keyboard, and last of all press the direct button of the item. The desired quantity will automatically be in the document. In our case we selected the quantity of 2 for the item Fanta, pressed the * button and pressed the direct button Fanta. In the second case we chose the number 2 on the numeric keypad, but we skipped the * button and chose the direct button for the desired item (in our case Palermo). The document still shows 2 items. After that we chose the Pizza Rustica and the topping Chili. This topping belongs to the previous item, the pizza Rustica. The last two selected items appear with the quantity of 1.

 

 

 

Document

The overview of the current document shows the selected items, quantities and prices.

  • When you've selected the items with the direct item buttons, a document appears on the right side, where the selected items are listed. The line with the yellow highlight shows the last selected item. NewPOS enables additional document processing before you close it and print it. Click on one of the lines in the document. On the left side of the document, 11 new vertical buttons will open. These are the EXPANDED MENU, which serves to process the document as is shown later. In our case, we selected the item Juice and increased the quantity from 1 to 2, then we selected the item Fanta and we decreased the quantity from 2 to 1, using the + and - buttons in the EXPANDED MENU. Afterwards we selected the item Pizza Palermo and we removed it from the document with the button CLEAR from the EXPANDED MENU.

 

 

 

Expanded Menu

Menu for document processing:

  •  In the selected document you can change or add quantities, prices, discounts, notes and more. ATTENTION! What the user can and cannot change depends on the permissions given to the user.
  • The + button enables increasing the quantity of a selected item. The item is selected by clicking on it and the appropriate line is highlighted with a different color. Every click on the button increases the quantity by one.
  • The - button enables decreasing the quantity of a selected item. The item is selected by clicking it and the appropriate line is highlighted with a different color. In our case we selected the item Coca Cola and increased the quantity from 1 to 4. Afterwards we discovered that we selected the wrong item and set the quantity back to 1.
  • The DELETE button enables removing an entire line of the selected item regardless of the quantity. In our case we selected the item Juice and removed it from the document with the DELETE button.
  • The % button enables adding a percentage discount to the selected item. If you press the button, the window DISC. % appears and you can enter the discount via the numeric keypad. To complete the process you have to press the OK button. The selected item has been discounted, which you can see in the selected line in the document immediately. In our case we selected the pizza Rustica, which has the price of 5.00 EUR. We wanted to discount it by 5 %. We pressed the % button, entered 5 in the DISC. % window, and confirmed with OK. Next to the original price of 5.00 EUR, the discount of 5 % appears and the total after the discount.
  • The PRICE button enables changing the price of the selected item. If you press the PRICE button, the window NEW PRICE opens, where you enter the new price with the numeric keypad and press OK to confirm. The document shows the change in price immediately. In our case, we selected the Prosciutto item, which costs 5.00 EUR. We wanted to change the price of the item in the document, so we pressed the PRICE button and entered the new price: 4.00 EUR. ATTENTION! If you DON'T have the right to change the price as the logged in user, a WARNING appears: "You are not authorized to change prices". In that case the price won't be changed unless you call a supervisor with the authorization to change it. He can log in by pressing the ADMIN button and entering his password. On top of the window, next to the user's name, the name (admin) will appear, which means that all the supervisor's authorizations are currently enabled. Now the item can be selected again and the price changed. In our case that meant that the price of the item Prosciutto could be changed to 4.00 EUR. Afterwards the supervisor can log out by pressing the ADMIN button. NOTE! The same procedure can be used in other cases, when the user has limited authorization.
  • The INFO button opens a window with details about the item, including a picture if there is one in the item's database.
  • The ADMIN button - by pressing the ADMIN button, a login window opens, where the administrator with higher access authorization can log in (e.g. sales into negatives and others). The administrator can then perform any necessary changes in the document, as described in the section on price changes.
  • The DESC button can be used to enter additional information about a selected item. In our case we added a description to the item Greek salad to be used as a printout on a kitchen printer. In the top right corner of the line of the selected item in the document, a new square appears with a question mark, which means that a description has been added to the item.
  • The button ASSIST is used for keeping track of who participated in assisting a customer. In our case we selected the item Burgundy. A sommelier helped some guests select wine in a restaurant. The user who was logged in selected sommelier John from a list and added him to the appropriate item line. This won't appear on the receipt but will be documented in a separate record.
  • Moving across the lines in a document – with the buttons UP and DOWN you can move the item up and down in the document.

 

 

 

Numeric Keypad

Keypad for entering numeric data and descriptions of possible functions such as:

  • Manual item selection – type in the number of the item from the item register (e.g. 104), press the PLU button to select the item and add it to the document. The quantity by default is 1.
  • Selecting a quantity other than 1 – item from the previous set is highlighted red, because it hasn't been finished yet. Type in the desired quantity and press * (e.g. set the quantity as 2 and then press *). The quantity of the item will change from 1 to 2 in the selected item's line, but the price will remain unchanged.
  • Changing the price of the selected item – the item from the previous steps is still selected, because it hasn't been closed yet. Type in the new price (in our case 3) and then press PRICE. The price will change appropriately. If you're done, confirm by pressing PLU and the line of the selected item will move to the top of the document and change the color, which means that it's been closed. NOTE – it's still possible to change the data in that line (see chapter 4.4. Expanded Menu). The line showing the total of the open document will also change appropriately.
  • Negative item quantity – you want to input -2 no. 104 items, because you've previously put in too many or the customer wants to return the item. Press the minus button, then the 2 and * for the quantity, 104 as the item number and the PLU button. A line with the entered information will appear in the document (the price per item will come from the valid price list) and it will be marked as not closed and highlighted appropriately. If the entry is good, press the PLU button once again to finish the line and add it to the document. The total of the document will be updated automatically. NOTE – it's still possible to change the data in that line (see chapter 4.4. Expanded Menu). The line showing the total of the open document will also change appropriately.
  • The OPERbutton – by pressing the button a window with the title SELECT will open, where you can choose from preset operations that are accessible to the user (e.g. Empty document, Discount %, Total discount amount, Add note etc.). More information in chapter 7. OPERATIONS.
  • Wrong quantity– when entering the quantity of the item number 104, you entered 3.2 by mistake. You entered 3.2 and press *, then 104 and confirmed with PLU. In the line of the selected item you noticed that the quantity is 3.2 The right quantity is supposed to be 3. You can fix the quantity by entering 3, then pressing * and PLU. The quantity in the item's line has been changed to 3 and added to the document.
  • Selecting a quantity other than 1 and an item from the menu – you want to select 9 units of the item Tiramisu. Enter 5, press * and then choose Tiramisu from the quick access menu. In this case the data are entered directly into the document and you don't need to confirm with the PLU button.
  • Erasing a wrong entry – you can delete a wrongly entered item, price or quantity with the C button before finishing the entry, meaning while the line is on the bottom and highlighted red.
  • Closing the prepared document – when you've finished entering items and data into the document, you need to finish it. Press the big button on the bottom of the document TOTAL EUR, where the total amount of the document is shown (in our case 31.50). The window PAYMENT METHODS will open. Choose between the preset payment methods. You can combine the different options. In our case we selected CASH and confirmed by pressing OK. The document has been closed. More on that in chapter 6. CLOSING A DOCUMENT.

 

 

 

Extra Field

The field for additional function buttons is on the bottom left side of the screen. The buttons are set up by the service provider according to the user's wishes. In our case we have the buttons MENU, GOT, ORD, ITEM, CUST, and KEY.

  • MENU – the MAIN MENU window appears, where the buttons LOGOUT, REPORTS, Z REPORT, Z REPORT OVERVIEW, SYNCHRONIZE, DOCUMENT OVERVIEW, CASH DEPOSIT, CASH WITHDRAWAL are located.
  • GOT – the button is designed for quickly closing a document. From the menu of direct items select the items, which are automatically added to the document. When they're selected, you can quickly finish the document by pressing the button for quick payment, GOT. More about that in chapter 6.1. Quickly Closing a Document.
  • ORD – the button for entering ordered items for a table. Choose the ordered items and they will appear in the document. Then press the ORD button to open the window TABLE NUMBER. Enter the table number (it could also be the table's or guest's name), confirm the entry and the selected items will be registered as that table's order. At the same time the kitchen printer can print out the list if you've set it up appropriately. •ITEM - used to search for items from an item list. When pressed, the window ITEM LIST opens where you can select an item and press OK to confirm your selection. The item is added to the document with the quantity of 1. You can look for items according to different criteria, such as its name. In the ITEM LIST window press the KEY button to open the keyboard, where you can enter the item's initials and the program will display a list of items. From that list you can select the desired item and confirm with OK. Again, the item will be added to the document with the quantity of 1. In the ITEM LIST window, another INFO button is available in the lower left corner. It enables a more detailed view of the information about the selected item if you have the appropriate authorization.
  • CUST – used for entering or searching for customers. When pressed, the CUSTOMER LIST opens. It is used when issuing a document to a taxable person, for example, or whomever needs to have their information on the issued document. From a list you can select the desired customer and confirm with the OK button. You can look for customers in the same way as you look for items. You can add a new customer with the ADD button manually with the keyboard (the KEY button)or automatically from a business register (check if available for your country). You can see detailed information about the customer from the list by pressing the INFO button, or if you need to change existing information or add more about an existing customer you can press the EDIT button. When you're done with entering a new customer, editing existing information or looking up additional information press OK to conclude the process. When you confirm the selected customer, the basic information appears in a brown window over the user name of the current user. If there is support for your country, you can also automatically get information about the customer automatically from an online business register. The button GET ONLINE in the window CUSTOMER INFORMATION enables this. When entering a new customer, simply press the ADD button. The information about the selected customer will appear in the information window on the top. Close the document (more information in Chapter 6. CLOSING A DOCUMENT). The document will include the customer's information.
  • KEY – the button is used to toggle the numeric keyboard on and off. Some users don't need the numeric keyboard, which is why hiding it offers more space for use in the current document. You can choose whether the keyboard appears instantly when the button is pressed or floats from the top or bottom of the screen.
