Setting Up Full-Text Search and eOCR

Full-Text Search (FTS) and eOCR are configured in the Classification Plan. By selecting the appropriate options, the administrator determines which documents can be searched by their content and which scanned documents should additionally be processed with eOCR.

Full-Text Search is included in the eDocumentation license. The eText service is required for eOCR.

The following example shows how a company can configure these functionalities according to its needs.

Case summary
The company stores its documents in Documentation and wants to enable Full-Text Search for its documentation. The company also receives scanned warranty certificates and wants to make the text in these documents searchable using eOCR.

The administrator first enables Full-Text Search for the classifications whose documents should be searchable.
Open the Classification Scheme.

In the Classification Plan, select the classification you want to configure. The Searchable checkbox is available both in the classification table and in the details section on the right for the selected classification. Enable it to include the classification in Full-Text Search.

Select the Searchable checkbox.
Documents belonging to this classification can now be searched by their content using Full-Text Search.
All new documents assigned to this classification will be automatically added to FTS as well.
After enabling the option, a message displays the number of existing documents from the classification that were added to FTS.

Hint
If the selected classification has subordinate classifications, these can also be included in the search.

Repeat the selection for the other classifications that should be searchable.

You can also use the right-click menu to quickly select or deselect classifications using Select All and Deselect All and others.

Once configured, users can search the content of selected documents using Full-Text Search. For an example, see the Full-Text Search user example.
eOCR is used when the content of a document is not available as readable text, for example, in scanned service orders or image-based documents.
To enable eOCR for the relevant documents:
Open the Classification Scheme.

Find the classification used for the scanned documents, for example, Service reports.
Select the eOCR option for the classification.

In the right section of the Classification Scheme, select the file formats that should be processed by eOCR.
For example, if scanned service orders are stored as PDF or image files, select the corresponding formats, by deleting unnedded formats.

Repeat the configuration for other classifications where eOCR should be used.

IMPORTANT
Just as you can include classifications in FTS or eOCR by enabling the corresponding toggle, you can click the toggle again to deselect them. The classification will then no longer be included in the respective search or processing.
