Importing from an Excel file
PANTHEON allows the users to import data into the program from an Excel file. Preparing data in Excel is often easier and provides the user with a better overview, especially in cases where data is being transferred from a previous system and needs to be edited.
Below is an example of how to import data from an Excel file and a list of what data you can import.

CASE SUMMARY
Tecta has introduced new products available to its customers. To speed up the creation of the new IDs in the Items register, the employees prepared the data in an Excel spreadsheet. Head of Wholesale Sally Sales will import them into the Items register. This is done as follows:
- Exporting a structured Excel file for items
- Preparing data in the structured Excel file
- Reviewing/updating related registers
- Importing data

1. Exporting a structured Excel file for items
In PANTHEON, data is organized in tables that have a specific structure. To import data from an Excel file into a PANTHEON table successfully, it is necessary to prepare the data so that it corresponds to the required structure. For this purpose, the person responsible will export a structured Excel table.

First, the Items register is opened by opening the menu Settings | Items | Items.

Clicking the button Import/Export data displays the available options.

The person responsible selects Import from Excel file.

A new window (an IRIS message) opens, as shown in the image below.

The person responsible clicks the option: Export structured Excel file for items.

HINT
The next time you are preparing a table for import into the Items register, you can use the existing table or select one of the other available options: Import new items or Update existing data.

A new window opens to select where the structural template for the Items register will be saved. The location is then saved by clicking the button Save.

The header columns in the Excel table are named after the fields to which the data will be imported into PANTHEON, as shown in the image below.

2. Preparing data in the structured Excel file
The person responsible prepares the data in the structured Excel spreadsheet, as shown in the image below.

3. Reviewing/updating related registers
Before the data is imported into PANTHEON, the person responsible checks the data consistency with the other PANTHEON registers (Primary supplier, unit of measure, Item type, etc.).

HINT
When the IDs do not yet exist in other PANTHEON registers, but you need them to import items, create the IDs first. For a detailed procedure on how to create the most common registers linked to the Items register, see the chapter Registers linked to items.

4. Importing data

The person responsible repeats the steps described in point 1. This time, the option Import new items is selected.

A window opens, where the person responsible searches for the file to be imported and clicks Open, as shown in the image below.

- A successful import is completed with a message which the person responsible closes by clicking the button OK.

The content of the Excel tables is tailored to the specific import, and the import process may differ from the example described above.
