Creating a new employee

The module Employees is used to keep all the mandatory information on employees. The data entered when creating a new employee is then further used in other modules of the program, e.g. in travel orders.

This chapter shows how to enter a new employee into the program.

CASE SUMMARY

Sally Sales, Head of Wholesale at Tecta, informs the Personnel Department of the selected candidate for the vacancy in her department, Calvin Clerk. The person responsible creates a new record for the new employee, which is done as follows:

  1. Opening the window Employee list window
  2. Creating a new employee
  3. Entering general information
  4. Entering birth data
  5. Saving the new employee entry

1. Opening the window Employee list window

The person responsible wants to create a new employee in the Employees register.

To do this, the person responsible selects the module Personnel and the submodule Employees from the main menu.

This opens the window Employee list.

2. Creating a new employee

To create a new employee entry, the person responsible clicks the command line button New employee.

This opens a new window where the person responsible can enter general information on the employee.

3. Entering general information

The person responsible starts entering the new employee's general information.

In the field Code, the person responsible enters: Calvin Clerk.

WARNING

The code is a mandatory entry. Without this information, the field turns red and the employee cannot be saved to the database.

The fields below are automatically filled in with first and last name.

Registration num./ID is not the employee's personal identification number, it is a number given to the employee by the company as an entry/ID number. It is automatically populated with the next available consecutive number: 0022.

From the drop-down list of the field Status, the person responsible selects the employee's status according to the type of employment. The following options are available:

  • Full-time, fixed-term
  • Other employer
  • Part-time
  • Full-time, permanent
  • Ex-employee
  • Contract, part-time
  • Contract, full-time
  • Contractual work
  • Intern
  • Scholarship
  • Retired
  • Retired- working
  • Apprentice

In this case, the person responsible selects: Part-time.

The employee is employed as a sales clerk in the Retail Department, thus the person responsible selects the appropriate entry in the field Job

When the job position is selected, the field Department is automatically populated.

From the drop-down list, the person responsible selects the employee's superior. This information is important for the approval of travel orders and requests for leave. In this case, Sally Sales is selected.

Next, the person responsible enters the Nat. ID no. (national identification number) and Tax number, as shown in the image below.

HINT

A cehck for national identification number is built-in the program, which is why it reports an error if the number is entered incorrectly.

In the field Gender, the person responsible selects Male and specifies the employee Nationality, in this case Slovenian.

Next, the person responsible enters employee's birth data.

4. Entering birth data

In the section Birth data, the person responsible enters the following data:

  • Birth date: 12.10.1995
HINT

If you have entered the correct national identification number, this field is automatically populated.

  • Birth place: SI-1000 Ljubljana
  • Birth country is automatically populated: Slovenia.

In this window, there is an additional section Other data where the person responsible can enter the registration number of the employee's vehicle (if applicable) and indicate whether this is a company car.

In this case, these fields are left blank.

5. Saving the new employee entry

After entering the general and birth data on the employee, the person responsible clicks the command line button Save.

The page with a header is displayed where the most important information on the employee is displayed. In the header, the person responsible can edit contact information of the employee.
