There are two review options at outstanding items module. We can review open or overdue items on defined date.    

 

1. Outstanding items - Open

 

 

 

 

Account

Enter account number for which we want to prepare outstanding items report. It is first customers account from program parameters in Administration panel (Program Parameters / Financials / General). In case that there is account missing, Pantheon will found it/them in the chart of accounts.  It will take customers and suppliers accounts (for Customers - K-Customer/Receivables (is Subj.) and for Suppliers - D-Supplier/Payables (is Subj.)).

We can also use multi select on  button for review of more than one account.

Range Mark the box when we would like to review the range of accounts.
Account Additional account. Outstanding items report can be prepared for: 
  • two accounts in one report. An example: for one subject can be report prepared for domestic and foreign liabilities. This is the case that we will not mark the box Range.
  • for the specific range of accounts. In this case, also Range box should be marked.
Contra Account Also contra account is one of possible parameters for the outstanding items report.
Subject Subject is one of the parameters for outstanding items report.
Name 2 Name 2 is one of the parameters for  the outstanding items report.
Department We can enter the department or departments to find outstanding items to which departments refer. Use  for multi select.
Cost Center We can enter the cost center or cost centers to find outstanding items to which cost centers refer. Use  for multi select.
Subject Type Drop down menu with its subject types gives us option to prepare outstanding items report for selected subject type. Use  for multi select.
Status Subjects status can be used for one of the parameters at outstanding items report.
Country Report can be limited on subjects state.
Link Doc. Report can be limited on linked document.
Document Report can be limited on document number.
Responsible With chosen responsible person, we will get open items report by responsible. Responsible is user from Administration panel.
Statuses in Journal Entry Line (exclude) Statuses on general journal can be set up in Post Statuses register. If we enter the post status in this field, the posts with it will be excluded from the report.
On a Specific Day

Outstanding items report - Open will automatically enter todays' date.

Report can be created regarding Period or Document date.  Choose the option:

Amounts

There are options LCY (local currency ) and FCY (foreign currency).

Opting LCY will gives us the report in local currency.

Option FCY will gives us the report in original currency enters in Pantheon. We can choose FCY from drop down menu in case that we want to review only one FCY.

Type of Outstanding Items

There are two options: .

Under option Customers we will get outstanding items for customers accounts.

Under option Supplier we will get outstanding items for suppliers accounts.

Without set account, will report includes all  accounts, which are  marked as customer/receivables or supplier/payables accounts in the chart of accounts.

Document Status

:

Select the document status that we want in report (a date depending on the due date of the document):

Open - Prepare report with documents, opened under set criteria,

Closed - Prepare report with documents, opened under set criteria,

All  - Prepare report with documents, opened and closed under set criteria.

Type

Select type of the accounts for the documents we want in the report:

Subsidiary Accounts - include documents, where postings include subject and report is not depend on settings in the chart of accounts.

General  Ledger - include also documents, where postings don't include subject data.

We can decide whether we want to include set-offs in progress in report or not. Marked check box will exclude set offs from report.

Overdue grace period can be set up in subject register on financial details and in Subject types register, financial details. Marked check box will exclude documents in the grace period from outstanding items report. Pantheon will preliminary search grace period at subject and then at subject type.

We can decide whether we want to include closing entry in report or not. Marked check box will exclude closing entry.

 
   

 

 

Export to DBF Export to DBF can be found on wizard tool. We need it also for tax purposes.  DBF format.
Sync File By clicking this button, we prepare data file with outstanding items. This file is prepared for our business partner. He can import file  and compare data with his.  After imported file, posts can be review at Import Subject's Posts tab. 
Grid View Report data will be shown as grid view.
Report Report will be prepared as preview of printed report.
Sending by email  We can send reminders via mail.

 

 

 

 

2. Outstanding items - Overdue

 

 

This report parameters are same as these at outstanding items report - open. The difference is only a date set.

We are talking about overdue documents and still open on date.

 

 

With check box    marked, Pantheon shows us also posts with linked documents beyond set dates. Else, we will get report only with posts with linked documents up to set dates criteria.

 

 

3. Additional tab

 

Document / Target Date From  To Enter document dates to review desired documents.
Due Date From    To Enter due dates to review desired documents.
Payment From To

Payment from to: we can define date for payments. Payments for customer are on Credit side and payments for supplier are od Debit side. Credit note is excluded in this case. This dates effect only on payment on that certain date and does not efect on general report for open or outstanding items, only option to wiew payments for main documents.

Apply date criteria only for source document The above dates are taken into account only for leading document (debit post for customer and credit post for supplier)
Name of Report 08R, 08U We can define our title of the report we want to create and print.
Min. Outstanding Amount Enter minimum outstanding amount we want to see in the report.
More Options  
Fill In Last Day of Month for Outstanding Items According to Target Date

Program will fill in dates for outstanding items report with the last date in current month when switcher is marked. Option is working only at outstanding items report by period.

Sell-To / Purchase -From

There are options to choose from drop down menu.

000001.gif Because of the extensive data collection is this review available only in case of report by Responsible person. These reports are:  32O, A05, 32P and with Responsible person defined as report criteria.

Debit Balance With check box marked, we will get only postings that have debit balance of receivables / payables.
Credit Balance With check box marked, we will get only postings that have credit balance of receivables / payables.
Prepayments Only

Report will include also positions where received or given amount is bigger than the invoice.

Show by Person Responsible from Subjects Program doesn't consider responsible person on documents when creating report by responsible person. Responsible person is for program person in subject register (customer, supplier).
Show Unlinked Credit Notes in Overdue Outst. Items The program will show unrelated credit notes  as overdue or open items  when switch  is marked.
Note This note field gives us additional criteria at outstanding items report. It refers on field Note in general journal.
External document Enter the external value of the document, which will be a criterion for review.
