Classification Preview

Classifications (or classification scheme) enable the structured classification of documents into different groups.

The classifications we downloaded using the Web Service in the Download classifications step can be additionally edited in the Classification Preview step. We can change the classification's escalation, validity, storage or workflow.

HINT
  • You can most easily imagine Classification as a folder into which we file/insert documents of the same type. In addition to the classification of documents, it determines the handling of the document. It determines in which storage this document will be kept/located, how long it will be kept, when it will be proposed for automatic destruction, and the like.
  • Advanced settings of classifications, which are necessary for working with eDocumentation, are organized in the Classification Scheme. See detailed instructions in the chapter Classification Scheme.
  • You can read detailed information about the Classification Preview step in the chapter Classification Preview.

In this chapter, an example of using the classification preview wizard is displayed.

You can open the Setup Wizard in the menu Settings | Program | Administration panel | Settings | Documentation.

Case summary

The person responsible wants to quickly review and edit the classifications using the Setup Wizard: 2803 – Summary. This is done as follows:

  1. Classification Preview
  2. Classification Settings
    2.1. Validity of classification
    2.2. Storage Settings

1. Classification Preview

The person responsible wants to review the classification settings in the Setup Wizard.

In the Setup Wizard, the person responsible selects the Classification Preview step.

A list of settings will open.

The list consists of information about the Type, a Description of the classification type, and settings such as Escalation, Validity, Storage and Workflow.

The person responsible continues to the settings for the selected classification.

2. Classification settings

The person responsible wants to edit the settings for the document type: 2803 - Summary.

In the section Filter, in the field Type or type description the person responsible enters the code or the name of the classification: 289 – Summary.

HINT

When specifying only a part of a known value, you can use the special character '%', which replaces the remaining part in the search.

The selected classification appears on the list.

The person responsible starts editing the data.

2.1. Validity of classification

For the selected classification, the person responsible wants to set a documentation storage period of 30 years.

Warning

Validity of the document or the storage time for certain types of documents is determined by law.

In this name in;

  • column Valid value the person responsible enters the value: 30.
  • in column Valid type the person responsible selects the type from the drop-down list: Years.

Proceeds to save setting.

2.2. Storage settings

The person responsible wants to use eDocumentation.

In the column Storage, from the drop-down list, the person responsible selects: eDocumentation.

After adding documents to the classification, the person responsible wants to automatically start eWorkflow Enostavno potrjevanje računov / Simple invoice validation.

For this purpose, in the column Workflow (eWorkflow) the person responsible selects Enostavno potrjevanje računov / Simple invoice validation from the drop-down list.

The person responsible saves the changes by clicking the Down arrow key.

New links of the document type are visible in the list.

The person responsible removes the filter to preview the whole list.

By clicking the Next button, the person responsible continues to the next step which is Links to forms and archives in the Setup Wizard.
