Documents

The Documents form in the Personnel Granule provides an overview of stored employee documents.

IMPORTANT
  • By default, Granules only show the data of the logged-in user. The data displayed can be changed any time by defining relevant authorizations.
  • If only one Granule is assigned to the user, the granule-specific logo and name in the main menu are displayed. If several Granules are assigned to the user, the main menu shows general PANTHEON Granules logo.
  • Documents are saved either to a certified or non-certified storage, depending on the type of package leased. An appropriate classification must be assigned to the storage.
  • The classification scheme is already predefined in the database and can only be modified with PANTHEON licenses LX, LT, SE, ME, MF and RE.

Below is a description of the form’s features:

  1. Toolbar
  2. Header
  3. List of documents

1. Toolbar

In the toolbar in Documents, there are two action buttons:

Show deleted

If the toggle button is enabled (yellow color), the list of documents also shows deleted documents.

Delete Selecting the checkbox next to the desired document in the list of documents and clicking the Delete button deletes the selected document.

2. Header

In the header, you search for and filter the Documents using the search criteria in the following fields:

Search

Search for documents is carried out in all columns from the table.

Document type.

From the drop-down menu, select the document type (storage).

Category

From the drop-down menu, select the classification for which you want to display documents.

Status

Search documents by their status from the Status register.

Date from

Select the start date of the time period to display all documents created in this period.

Date to

Select the end date of the time period to display all documents created in this period.

 

3. List of documents

Shows a table with data on the documents, which is described in the following fields:

Select

Select this checkbox if you want to delete a document and click the Delete button. You can select several documents at the same time.

Selecting at least one document activates the action buttons in the toolbar.

Preview

In the preview, you can display the document in the PDF format. The drop-down menu allows you to select which format to open.

Number

Consecutive document number.

Clicking the document number opens the document from the database.

Subject ID

ID of the subject who sent the document (ID from the Subjects register).

Subject name

Full name of the subject from the Subjects register.

Date

Date of receiving the document.

Due date

Document due date.

Title The title of the document, which is automatically generated in the module in which the document is created.

Amount

Document value.

DT

Document type.

Category

Classification entered upon scanning the document or adding it to the Documentation.

Note

Short note on the document.

User

The person, i.e. logged-in user, who created the document.

Status

Current document status (e. g. Open, Rejected, Finished, Approved etc.).
