Owner entry

Veterinary clinics keep records of animals (patients) in connection with owners. When an owner first comes and brings their animal to the veterinary clinic, they first enter into the program the owner. A unique owner code is created, which also allows for differentiation between owners with the same name (e.g., Janez Novak). 

In this chapter, we will present an example of creating a new code for the owner. The functionality is located in the menu Veterinary | Code lists |​ Owner and animal code list.

CASE DESCRIPTION

The owner, Peter Pritlikavi, is bringing his new dog to the veterinary clinic for the first time, with the intention of arranging the transfer of ownership for the animal. The veterinarian or receptionist at the veterinary clinic will enter the owner into the owner code list during the owner's first visit. The process of creating a new owner code will be carried out with the following steps:

  1. Entering basic data about the owner
  2. Entering additional data about the owner 
  3. Determining the method of sale
  4. Printing the owner's data

1. Entering basic data about the owner

The responsible person at the veterinary clinic asks the new owner for their name, surname, and permanent address. The data is entered into the program.

  • Clicks the button Enter record. The fields on the form Owner/animal entry are cleared, allowing for the entry of new data. 

  • In the field Code they enter: Peter Novak. While entering, they also check that such a code does not already exist, as it does not appear in the drop-down list.

TIP

The field Code allows for a unique record of the owner, or identification among owners with the same name (e.g., Janez Novak).

  1. In the field Code you can enter the first name and surname (e.g., JANEZ PRITLIKAVI), if such a record does not already exist.
  2. If it already exists, you add an additional character (e.g., JANEZ PRITLIKAVI 1).
  3. You can choose to use only numerical designation (1) without a name.   

  • The responsible person enters in the field Surname : Pritlikavi. In the field Name they enter: Peter.

  • They continue with entering data about the permanent address. In the field Address they enter: Ulica veselja 15. 

  • From the drop-down list in the field Country, the responsible person selects: Slovenia. 

  • In the field Postal code they select from the drop-down list: SI-1000 Ljubljana.

WARNING
  1. In Slovenia, the Central Animal Register (CRŽ) is linked to the Central Population Register. This way, errors in the owner's data are prevented upon entry.  
  2. When entering owner data in PANTHEON, precise entry is required, as any inaccuracies in the owner's data will result in an error during import into the CRŽ.

 2. Entering additional data about the owner

The responsible person continues with entering more detailed data about the animal's owner. 

  • In the field EMŠO they enter the EMŠO number: 2511985500268.

  • In the field Date of birth they enter: 25. 11. 1985.

  • The responsible person enters the owner's contact details in the fields E-mail and Mobile number  and Phone .

WARNING
  1. Certain fields of the owner's data are mandatory, depending on which animal the owner has. The most required data is for dog owners (data import into CRŽ). For other types of animals, there are no mandatory additional data, and they can be entered at will. 
  2. For all owners of livestock (cattle, sheep, pigs, poultry, ...) it is mandatory to enter data in the field GMID, which determines the location of the animal's setting. 

3. Determining the method of sale

The owner of the animal is a client of the veterinary clinic. After the treatment or therapies are completed, the responsible person issues an invoice for the services rendered. For this purpose, they also fill in the data about the method of sale.

  • In our case, they select Method of sale: Final customer. 

  • After completing the entry of the animal owner's data, the responsible person clicks the button Save

4. Printing the owner's data

If the responsible person wants to check or print the owner's data, they do so as follows. 

  • Clicks the button Print. A new window of the form opens Print owners and animals.

  • The responsible person selects the print: 6VK and clicks the button Print.

TIP

For a narrower selection of data in the printout, you can use Criteria. In each criteria field, you enter the desired criterion or select it from the drop-down list. For more detailed information about the program forms, read in the PANTHEON VET Guide, in the chapter Print owners and animals.

  • A print preview opens, which the responsible person can print, save to the computer, etc.
