Registers linked to items

 

The Items register is linked to other registers in PANTHEON, which need to be checked or updated before a new item can be entered. The following presents an example of the most common registers linked to the Items register.

CASE SUMMARY

Tecta Bar has expanded its range of sales items and will be adding a new entry for an item in the Items register. The type of the item will be goods package and the company wants to track it analytically for the Bar Department in two different classification levels with the corresponding unit of measurement. The items are supplied by different suppliers, so the company wants to have an overview of the item also by supplier. In order to be able to select the above registers in the Items register, the person responsible (who has been granted program rights) will perform the following steps in the following registers:

  1. Item types

  2. Departments

  3. Item categories

  4. Cost centers

  5. Units of measurement

  6. Subjects

1. Item types

The person responsible opens the Item types register to set a new code with an item type for a goods package (type G). This way, items sold as a package can be tracked separately.

  • The person responsible opens the Item types register from the General panel and double-clicks the field Item type.

HINT

Item types register can also be accessed by opening the menu Settings | Items | Item types.

  • When a new window opens, the person responsible clicks on the Insert record taskbar button, which creates a new, empty line, as shown in the image below.

  • A new code is entered in the field Type. In this case: 203.

  • G-Goods package is then selected from the drop-down list in the field Type.

  • Finally, the record is saved by clicking the Post edit button, which changes the color from green to grey.

2. Departments

In order to be able to analytically track the items for the different departments at Tecta, the person responsible then creates a Bar department. This will be done in the Subjects register, which can be accessed by clicking on the menu Settings | Subjects | Subjects menu, or by double-clicking on the field Department in the Items register mask.

  • The person responsible clicks on the button Insert record button in the taskbar to create a new record (the entry fields are emptied).

  • In the ID field, a new ID is entered, in this case: BAR.

  • Then, the name is entered in the field Name 2.

  • The checkbox Department is then checked, as shown in the image below.

Now that the Bar Department ID exists, the person responsible can select it in the Department field of the Items register.

3. Item categories

Item categories will facilitate analytics for Tecta employees, which is why the person responsible will create two different categories, TECTA_BAR and TECTA_BAR_MAT.

  • The person responsible double-clicks on the field Primary category or Secondary category in the program mask in the Items register and the Items register opens.
HINT

Items register can also be opened by opening the menu Settings | Items | Item categories.

  • When a new window opens, the Insert record button is clicked in the taskbar.

  • In the field Category field, a new category is entered, in this case: TECTA_BAR.

  • Then, the person responsible fills in the field Name, as shown in the image below.

  • From the drop-down list in the field Type, this category is specified as Primary.

  • Finally, the record is saved by clicking the Post edit button, which changes the color from green to grey.

The same procedure is then repeated for the creation of the second category TECTA_BAR_MAT, except that for this classification, the person responsible selects the Secondary category from the drop-down list in the field Type.

Now that the primary and secondary categories exist, the person responsible may select them in the field Primary category andSecondary category in the Items register, as shown in the image below.

4. Cost centers

Cost centers allow you to track the costs and revenue of a project within a company in more detail. For this purpose, the person responsible creates a new cost center ID.

The person responsible opens the cost center register by double-clicking on the field Cost Ctr. field in the program mask in the Items register.

HINT

Cost center register can also be accessed by opening the menu Settings | Financials | Cost centers.

  • When a new window Cost centers opens, the Insert record button is clicked in the taskbar.

  • The cost center ID is entered in the field Cost Center, in this case: Bar.

  • Then, the field Name is filled in, as shown in the image below.

  • In the field Status, the status from the drop-down list is selected: I – in progress.

  • In the field Group, Store is selected from the drop-down list.

5. Units of measurement

The person responsible opens the Units of Measurement register by double-clicking the field Primary U/M in the program mask in the Items register.

HINT

The Units of measurement register can also be accessed by opening the menu Settings | Items |Units of measurement.

  • After the person responsible clicks on the button Insert record, a new, empty row is created.

  • In the field U/M, a new code for the unit of measurement is entered (which does not yet exist in the register). In this case: DL.

  • In the field Int. label, the official international code is selected from a drop-down list: LTR.

  • In the field Name, any name is entered as shown in the image below.

  • Finally, the record is saved by clicking Post edit

6. Subjects

The person responsible opens the Subjects by double-clicking on the field Primary supplier in the program mask in the Items register.

HINT

The Subjects register can also be accessed by opening the menu Settings | Subjects |Subjects.
