Subscription for Certified eDocumentation

In this chapter, we present the process of ordering the eBusiness service, Certified eDocumentation.

Certified eDocumentation is an archival service that digitally signs and time-stamps the document upon storage, then saves it to the archive and creates a backup copy.

Case summary

At Tecta, documents are digitally signed and time-stamped upon entry into storage, then stored in an archive and backed up. The company wants to get rid of the physical archive.

For this purpose, the responsible person orders the Certified eDocumentation service. This is done as follows:

  1. Access the User Pages

  2. Select the Certified eDocumentation Service

  3. Review the available Certified eDocumentation Service packages

  4. Review and confirm the terms, then place the order

  5. Sign the documents using BetrSign

  6. bizBox Registration

  7. Connection to the Certified eDocumentation

  • We recommend a combination of eDocumentation and certified eDocumentation – store legally prescribed documentation in certified eDocumentation, and use ordinary eDocumentation to store commercial and technical documentation and postal books.

1. Access the User Pages

The responsible person logs in to the Usersite pages and selects My Data | Order Additional Services.

2. Select the Certified eDocumentation Service


The Order Additional Services page opens, where they select eDocumentation Service – MORE INFORMATION AND ORDER.

 

The eDocumentation Service Order page opens, displaying information about the company, its legal representative, and the service packages.

important

To order the service, accurate information about the company’s Legal Representative must be entered.
Upon ordering, the representative will receive the document for signing, and a password to access the document will be sent to their mobile number. Detailed instructions for adding or editing the legal representative’s information can be found here.

3. Review the available Certified eDocumentation Service packages

After entering the legal representative’s information, they proceed to review the Certified eDocumentation packages.

By clicking the arrow next to each package, a detailed description of the package is displayed.

By clicking the toggle switch, they select the package based on the amount of data the company wants to store in Certified eDocumentation.

The table displays the selected packages and prices.

  • You can choose one of the Certified eDocumentation packages: 1 GB, 5 GB, or any number of 10 GB packages.
  • If you select multiple 10 GB Certified eDocumentation packages, the storage size is multiplied accordingly (e.g., 5 × 10 GB packages provide 50 GB of storage).

  • The company can switch packages within a specific service at any time; however, the change will take effect on the first day of the following month. Until the end of the current month, the customer retains the existing package.

 

4. Review and confirm the terms, then place the order

 

They review the special terms of service and, by checking the confirmation box, guarantee the accuracy and truthfulness of the legal representative’s information.

By clicking the Order Service button, the legal representative receives the service agreement for signing via email.

5. Sign the documents using BetrSign

The Legal representative receives a link to the documents for the ordered service via email and a password to access the document on their mobile phone.
Once the document is signed, the ordered service is activated.

6. bizBox Registration

Tecta ordered the service Certified eDocumentation.

For this purpose, the company must complete a free registration on bizBox.

By registering, the company will receive:

  • Username: FIRSTNAME.LASTNAME
  • The instructions on how to set a password for accessing the ordered service.

Thus, the person responsible follows the procedure bizBox Registration.

7. Connection to the Certified eDocumentation

After successfully registering on bizBox and obtaining a username and password, the company will finally receive the so-called identification data or Connection from ZZI.

The connector will be defined in the Administration panel | Settings | Documentation | Storage (as you can see in the image below) to ensure a successful connection to the storage.

After the Storage settings have been entered, other Settings (Classification Scheme, Mailboxes, etc.) need to be defined as well.
