Settings for Sending eInvoices

Before sending e-invoices, certain settings must be defined in the Subjects Register.

The invoice document must also contain corresponding data.

This chapter presents a use case that describes corresponding settings.

CASE SUMMARY

The company wants to send e-invoices. The person responsible in the company checks the required settings in the Subjects Register on the bank and your company records, as well as reviews the entry of required data on the invoice document. This is done as follows:

  1. Subjects Register settings – bank
  2. Subjects Register settings – your company
  3. Required data on the invoice document

1 Subjects Register settings – bank

For sending and receiving e-invoices, the person responsible must have settings about the bank defined in the Subjects Register.

The person responsible opens the Subjects Register by selecting Settings | Subjects | Subjects from the menu.

The bank with which the company has an open account, must be entered in the Subjects Register, and required settings must be defined. In this case, the person responsible finds the record: Addiko Bank Plc.

The person responsible goes to the Bank panel and checks whether the required fields are filled in:

  • SWIFT/BIC code: the international bank code must be entered. In this case: HAABSI22.
  • Bank Code: the person responsible enters the two-digit bank code. In this case: 033.

For bank codes and SWIFT/BIC codes, see the Banka Slovenije website.

 

The person responsible saves the changes by clicking the (Post edit) button in the toolbar.

Next, the person responsible defines company settings.

2. Subjects Register settings – your company

In the Subjects Register, the person responsible finds their company: Tecta Plc.

The person responsible goes to the General panel, and checks the required fields:

  • e-Slog 2.0: The person responsible checks the checkbox. This is the currently valid eSLOG version.
  • Business Documents: from the drop-down list, the person responsible selects the business type Traditional and Electronic or just eDocument.
  • VAT ID: from the drop-down list, the person responsible selects the prefix according to the company and enters the VAT number.
HINT
  • Double-clicking the prefix field opens the Countries Register, where all countries with their corresponding data is entered.
  • Double-clicking the field for VAT number entry opens the AJPES web portal.

 

  • Registration No.: into this field, the person responsible enters the company's registration number.

Next, the person responsible reviews the entered default bank account, from which the company sends, or receives e-invoices.

The person responsible goes to the Bank Accounts and checks the Bank Accounts (LCY) section.

In the Def. section, the person responsible selects the default bank account by checking the checkbox and checks the bank data.

WARNING

The bank account number must be entered into the Accounts field without hyphens.

 

Next, the person responsible reviews required data of the document that is going to be sent as an e-invoice.

3. Required data on the invoice document

After creating the invoice document that is going to be sent as an e-invoice, the person responsible checks the following required data:

  • Order: the person responsible enters the client order ID and order date.
  • Type of Transaction: the default value that appears is the one set in the Document Types Register. A custom one can be selected from the Transaction Types Register.

In document lines, in the U/M (unit of measurement) field, the unit of measurement for the item must be entered. The default value appears from the Items Register. A custom one can be selected from the drop-down list of the Units of Measurement Register.

WARNING

For the UM you use, the International Unit of Measurement Codes 2 field must also be filled in the Units of Measurement Register.
