Differences between eDocumentation, Certified eDocumentation, and Local eDocumentation

There are several types of electronic document storage. The difference between them is in how the documents are stored.
1. eDocumentation
eDocumentation enables the storing of documents in a safe cloud storage, on Telekom servers. The documents are not separately digitally time stamped and digitally signed, but are encrypted and versioned (older versions of documents can be preserved) in the storage.
Therefore the system can store documents that were originally created electronically, as well as documents created on paper and digitalised later.
Users can choose between:
eDocumentation 10 GB

Practically, this means that the 10 GB storage can hold about 25.000 documents*

eDocumentation 50 GB
|
Practically, this means that the 50 GB storage can hold about 125.000 documents*
|
eDocumentation 100 GB
|
Practically, this means that the 100 GB storage can hold about 250.000 documents*.

2. Certified eDocumentation
Certified eDocumentation is an electronic document storage provided by ZZI that is safe, in accordance with legislation and certified with the Archive of the Republic of Slovenia.
Therefore the system can store documents that were originally created electronically, as well as documents created on paper and digitalised later.
The Certified eDocumentation service includes everything the regular eDocumentation does, plus:
- Timestamping a document when importing the document into storage - a document is digitally signed and timestamped at the time of saving, then it is saved into the archive and a backup copy is created,
- In accordance with the law and certified with the Archives of the Republic of Slovenia - If you use Certified eDocumentation and have defined archival procedures, you can eliminate the company's physical archive and destroy physical documents.
Certified eDocumentation is somewhat more expensive because of its technological demands. Therefore, we recommend you use it for documents with legally prescribed storage (e.g. e-invoices, accounting documentation, contracts ...).

Certified eDocumentation 1 GB

It enables the storage of up to 10.000 electronic documents (e-invoices, e-dellivery notes, and so on).

Certified eDocumentation 5 GB
|
It enables the storage of up to 50.000 electronic documents (e-invoices, e-dellivery notes, and so on).

Certified eDocumentation 100 GB
|
It enables the storage of up to 1.000.000 electronic documents (e-invoices, e-dellivery notes, and so on).

3. Local eDocumentation
If you want to store documents on your own servers, Local eDocumentation is available.
It works similarly to the regular eDocumentation, except the documents are saved to your local servers.
Local eDocumentation can be upgraded with the Certified eDocumentation feature and saving a part of your documents in eDocumentation.
We recommend it exclusively to companies that use local PANTHEON licences and are therefore not in roaming mode.

To use the Local eDocumentation service, the latter must be activated. After activating Local eDocumentation, you must Create a local PANTHEON DMS base and check its link to the latter. Read the instructions in the chapter Creating a local PANTHEON DMS base.

It is especially suitable for companies that must not store data in the cloud due to the law, and for those that cannot store their business information with third party providers because of their internal rules and safety protocols.
We also recommend it to companies located in areas with bad internet connection.
