Export Document as eSLOG for Customer

You can export PANTHEON documents for individual subjects and exchange them in different ways and in different forms.

Create a document in eSLOG or PDF format that can be saved to eDocumentation or forwarded to a customer by e-mail.

This chapter presents the Export eDocument Document for Customer feature, which is found in the toolbar of documents by clicking the (Import/Export Data) button.

WARNING

The Export eDocument Document for Customer feature is found on various documents under various names. In all cases, the exporting process is the same, the only difference is the document type. According to document types, the names are:

Sales orders:

  • Export Sales Order as eDocument – exports the sales order
  • Export Preliminary Invoice as eDocument – features for exporting preliminary invoices

Purchase orders:

  • Export Purchase Orders as eDocument – purchase orders are exported in the same way

Issue (issue documents):

  • Export eDocument Issue Document – exports issued invoices
  • Export eDocument Packing Slip – feature for exporting packing slips

CASE SUMMARY

The person responsible in accounting wants to export all created documents for customer MERKUR Ltd. to eDocumentation in eSLOG and PDF formats and send them to the customer by e-mail. This is done as follows:

  1. Creating e-invoices
  2. Selecting settings and criteria
  3. Selecting documents for export
  4. Reviewing e-invoices in eDocumentation

1 Creating e-invoices

The person responsible selects Goods | Issue | Document and the suitable document type.

In this case, the person responsible selects the document type 3000 – Sale.

On the previously created document for subject Merkur Ltd., the person responsible selects the (Import/Export Data) button in the toolbar, then the Export eDocument Document for Customer feature.

HINT

For instructions about creating issue documents, see the chapter Creating issue documents.

2 Selecting settings and criteria

A Export subject's document as eDocument form opens, which displays a list of issue documents for subject Merkur Ltd. ready to send.

In the ESlog type field, the currently valid version: ESlog 2.0 is pre-set.

The person responsible wants to send the document by e-mail in eSLOG 2.0 (with an XML envelope) and PDF formats, and save them to eDocumentation.

HINT

All current information about eSLOG documents can be found on the Slovenian National eBusiness Centre websites.

To do this, the person responsible leaves the checkboxes shown in the image below checked.

HINT

The default value in the Date from field is the first day of the current year. The Customer field contains the subject of the document on which you ran the feature.

Both criteria can be changed and by clicking the Collect button, data is refreshed.

In the Document Types section, the person responsible marks all checkboxes by right-clicking the mouse and selecting the Select All feature to include all document types on the list.

To export only approved documents, the person responsible unchecks the N – Not approved in the Status section.

By clicking the Collect button, the person responsible refreshes the documents on the list, as per the new settings.

3. Selecting documents for export

On the list, the person responsible checks the checkboxes in the Sel. (Select) column for the issue documents they want to export.

By clicking the Create button, the person responsible runs the export operation of documents to eDocumentation and sending the documents to a subject.

By clicking the OK button, the person responsible closes the Information window notifying the user the operation is complete.
