Reviewing document history

The Files history form allows you to review changes made to document files. It can be accessed by clicking on the History button in the Files tab of Documents form.

The form enables you to see when the changes were made and the state of files of the document at each change.

Warning

History tracking can only be set for documents that are stored in eDocumentation storage.

 

It is enabled in General information section of the Classification Scheme. See use case of setting up history tracking in chapter Setting up history tracking.

 

This chapter presents an use case on how to review changes made to document files.

Case summary

The person responsible wants to delete a wrong file from document 24-DMS0-000031, that contains customer claim images for Services department. After a file is delete it can still be reviewed in Files history form. They do this by following these steps:

  1. Opening the Documents form
  2. Searching for document
  3. Reviewing the files
  4. Deleting the file

 1. Opening the Documents form

The person responsible opens the Documents form by selecting Settings | Documentation | Documents from the menu.

They continue to search for the right document.

2. Searching for the document

They search for the document using Filters.

In the field Department they enter Services and click on  (Filter documents) button.

Document 24-DMS0-000031 is displayed in Documents table.

They continue to review the files.

3. Reviewing the files

They click on the History button to review if any changes were made.

The warning is shown, that no history data was found, meaning there were no changes on the document.

Then they review files, determining that file broken_pole_1.png is redundant.

They continue to delete the file.

4. Deleting the file

They delete the file by selecting it and selecting Ctrl + Delete on the keyboard. They click OK on the confirmation window.

The file is deleted from the Files tab.

Then they click on History button to open the Files History form.

In the form the change made is recorded with the date and time of the change. 

The state of files before the change is wisible along with deleted file broken_pole_1.png.

By clicking on a file name, file is displayed in the preview.
