Calculation

 

 

The Calculation tab is used for creating, managing, and reviewing depreciation entries for fixed assets (FA) and small tools. It supports the full depreciation process from FA selection and calculation to posting to the General Ledger.

It also provides a centralized view of all relevant details for each depreciation entry, including the selected period, confirmation indicator, and associated journal references. All calculation entries are accessible for review at any time.

 

The Calculation tab can be accessed by selecting  Financials | Fixed assets | Depreciation Calculation | AR00 – Depreciation/indexation of fixed assets

Examples of how to use Calculation tab are described on the corresponding pages of the User Manual for PANTHEON.

 

 

The Calculation tab consists of the following functional units:

Conf.

(Confirmed)

Provides a quick visual indicator whether a depreciation calculation has been confirmed.

 

The checkbox is automatically selected when the Confirmation button is clicked and cannot be modified manually. A checked box means the depreciation calculation has been confirmed. An unchecked box indicates that the calculation is still unconfirmed.

Dep. Number

(Depreciation Number)

Automatically populated with a unique Depreciation Number generated by the program. It serves as an identifier for the depreciation calculation and cannot be modified manually.

The number consists of a two-character year code, a four-character document type code, and a six-character serial number (for example, 25-AR00-000003).

 

Hint

Double-clicking this field opens the Depreciation sub-tab on the Included Fixed Assets tab, displaying the FAs included in the selected depreciation calculation.

Date

Automatically populated with the current Date when a new depreciation entry is created, indicating the entry’s creation date. It can also be manually edited or selected.

 

Warning

When calculating depreciation for a specific fiscal year (e.g., 2025), the Date should be set to the last day of the fiscal period, such as December 31, 2025.

Period From

Specifies the start of the depreciation period and is entered in the YYYY-MM format (year and month), for example 2025-07. This defines the point in time from which the depreciation calculation will begin. 

 

This field, in combination with Period To, defines the full-time span of the depreciation calculation.

Warning
  • Only FAs with a valid depreciation start date on or before the entered Period will be considered in the calculation. Relevant settings can be selected in the Accounting tab.
  • Both Period From and Period To entries must be within the same calendar year. If the dates span across different years, an error will be returned with the message: Depreciation may be calculated for one year only!
Period To

The Period To field specifies the end of the depreciation period and is entered in the YYYY-MM format (year and month), for example 2025-07. This determines the final month up to which depreciation will be calculated.

 

This field, in combination with Period From, defines the full time span of the depreciation calculation.

 

Hint

Depreciation can be calculated for various time ranges, depending on reporting and accounting needs:

  • Monthly: for example, 2025-05 / 2025-05;
  • Quarterly: for example, 2025-05 / 2025-08;
  • Yearly: for example, 2025-01 / 2025-12.  

 

Warning

Both Period From and Period To entries must be within the same calendar year. If the dates span across different years, an error will be returned with the message: Depreciation may be calculated for one year only!

Calculated On Automatically populated with the date on which the depreciation calculation is performed. This occurs after the Calculation button has been clicked and serves as a timestamp for the operation.
Confirmed On

Automatically populated with the date when the depreciation calculation is confirmed by clicking the Confirmation button.

This date corresponds to the last day of the month specified in the Period To field.

Journal Entry Automatically populated with the Journal Entry number generated in the General Ledger once the depreciation calculation has been successfully posted by clicking the Posting button.
Number Contains the Depreciation Number as a continuous number without any special characters. The same number format is automatically entered into the Related Document field on the Value tab.
Inventory Numbers

Allows depreciation calculations to be limited to specific FAs, which can be selected from the drop-down menu or entered manually.

This is especially useful when calculating depreciation prior to FA disposal, sale, liquidation, or during revaluations affecting individual FAs. It also enables depreciation to be calculated for a single FA, if needed.

 

Warning
  • If the Inventory Numbers field is empty, the depreciation calculation will be applied to all FAs .
  • If depreciation has already been calculated for the entire database (i.e., for all FAs requiring depreciation in the selected period), this field will remain empty.

 

Hint

When using the Fill in Excluded and Included Inventory Numbers Wizards, this field is automatically populated with FA Inventory Numbers for which depreciation has not yet been calculated.

Excluded Inventory No.

(Excluded Inventory Numbers)

Used to exclude specific FAs from the current depreciation calculation. Inventory numbers can be selected from the drop-down menu or entered manually.

This is typically done for FAs that are not subject to depreciation during the selected period due to disposal, exemption, or temporary inactivity.

 

Hint

When using the Fill in Excluded and Included Inventory Numbers Wizards, this field lists all Inventory Numbers for which depreciation has already been calculated for the selected period.

Recalculation tax depreciation button

Used to recalculate accepted tax depreciation for FAs when changes have occurred that impact previously calculated depreciation values. These changes may include adjustments to FA data, depreciation methods, revaluations, or updates in tax legislation.

 

Warning

This button is only visible when the Enable Subsequent Recalculation of Tax Depreciation option is selected in the Fixed Assets settings within the Administration Panel.

 

When clicked, a new window opens containing the following functional units:

  • Deprec. from (Depreciation from): select the depreciation entry to be recalculated from the drop-down menu. This enables recalculation from any specific point in the fiscal year, depending on when changes affecting depreciation took place.
  • Deprec. to (Depreciation to): this field is automatically populated and cannot be edited. It displays the first depreciation entry of the fiscal year.
  • Cancel button: click to close the window without performing the recalculation.
  • Recalculate tax depreciation and confirm button: Click to perform the recalculation of tax depreciation based on the selected parameters. Once confirmed, the program updates the affected depreciation values and marks the recalculation as completed.
Calculation button

Initiates the depreciation calculation process. Once clicked, the program processes all relevant data and performs the necessary calculations. If any inconsistencies or data issues are detected (e.g., missing values, incorrect FA setup), an Errors list is automatically generated and displayed. This list helps identify and resolve problems before final confirmation or posting of depreciation.

 

Warning
  • Depreciation is not finalized at this stage, it is only calculated. confirmation is required to complete the process by clicking the Confirmation button.
  • If an FA appears on the Errors tab, depreciation has not been calculated for that FA. The issue must be resolved first, and the depreciation calculation re-run for that FA.
  • Despite the presence of errors, the calculation can still be Confirmed, but it will exclude any FAs listed in the Errors tab. These excluded FAs will not be part of the finalized depreciation until their issues are corrected and recalculated.
Confirmation button

Finalizes the depreciation calculation. Once the button is clicked, the following actions occur:

  • The Conf. checkbox is automatically selected, visually indicating that the calculation has been confirmed.
  • The calculated depreciation data is written as a new entry in the Value tab, updating each FA's depreciation record accordingly.

 

Warning

Only FAs without errors will be included in the confirmation. FAs listed under the Errors tab will be excluded unless their issues are resolved and recalculated.

Restore button

Reverts the confirmation of the depreciation calculation, allowing the calculation to be corrected or depreciation entry deleted.

 

Warning

Once depreciation has been confirmed, no changes can be made to it unless it is first restored. The Restore action removes the confirmation status from the Conf. field and enables the depreciation entry to be recalculated, adjusted or deleted.

Posting button

Finalizes the depreciation process. When clicked, the confirmed calculation is posted to the General Ledger.

Once the button is clicked, the following actions occur:

  • All depreciated FAs from the calculation are included in the posting, provided they were confirmed and free of errors.
  • The program creates a journal entry based on the confirmed depreciation data.
  • The Journal Entry field is automatically populated with the newly generated journal entry number, which serves as a unique reference to the posted transaction in the General Ledger.
  • New entries are created in the Posts tab, updating each FA’s posting record accordingly.

 

Warning
  • Posting can only be performed after the depreciation calculation has been successfully confirmed. If any FAs remain unconfirmed or contain Errors, they will be excluded from the posting.
  • Once posted, the depreciation entry becomes final and cannot be modified. To make any corrections or updates, the related journal entry must first be deleted. Then the depreciation calculation must be Restored before recalculating or adjusting the depreciation.

 

Hint

Right-clicking anywhere within the Calculate tab opens a menu with an additional, specific feature:

  • Activity-Based Depr. Settings (Activity-Based Depreciation Settings): When selected, a new tab opens, where the actual wear of FAs can be entered. This option is available only for items that have activity-based depreciation defined in the Accounting tab. It allows depreciation to be calculated based on usage data rather than time alone.

 

Hint

Additional column Numbers can be accessed by right-clicking on one of the column names and choosing Edit | Select Columns.
