Storage

In the Storage panel presented below, we set all the relevant settings depending on the type of storage selected.
Among other things, we can specify login data, check the connection to the storage, enter the identification data for the connection to the storage, and see the event log (import to the storage).

HINT
- Storage is most easily imagined as a warehouse or a home garage with several cabinets. In companies, these were sometimes warehouses or special rooms for archives. In them, mountains of folders with documents were stacked in many cabinets. On PANTHEON, we have available electronic document storage, which we call eDocumentation.

- Pre-prepared storage can be downloaded using the Web Service.

The storage settings are accessed from the menu Settings | Program | Administration panel and panel selection Settings | Documentation | Storage.
Here is a description of the form and its individual elements.

Using the functionality of the navigation buttons you can take a look at a storage, create a new one, edit or delete an existing one.
Enter or change the basic storage information in the header of the form. This section contains the following elements:

By clicking the button, we can test the connection to the storage. If the storage connection fails, the following errors will occur:

Id
|
The program automatically fills the field with the storage code when creating a new storage or when downloading storage using the Web Service.
|
Name
|
After the downloading of the storage via the Web Service is done, the name for the storage is automatically recorded in this field. When creating a new storage, we can define this name ourselves.

URL
|
Enter the path to the online or local storage site in the field to establish a connection between PANTHEON and the storage.

Login
|
In the Login field, select the already defined login data for identification and connection to the web service from the drop-down list.

HINT
By double-clicking on the field, a pop-up window Logins opens, which is the same as the Usernames and Passwords in which we can edit login data. Edit data is possible only for selected Storage (from where double-click was done). Navigating to other logins is not possible at this moment, but you have to navigate to Usernames and Passwords register.
We receive registration data from the service provider, e.g. for certified eDocumentation, we receive data from bizBox.

Description
|
The Description field contains a description of the storage that we created or downloaded using the Web Services. The former can be changed manually in this field.

Identify
|
Enter the identification information you receive from the certified safe storage provider (e.g. from ZZI) in the field. The identifier makes it possible to establish a secure connection with the service provider.

WARNING
If you use Certified storage, this field is mandatory.

The Logs tab has displayed event log (import to storage). The columns contain information about events and related documents:
Log ID
|
The ID of the record in the log is written in the field, which is the unique identifier of the event (import to storage).

External ID
|
The field contains the code of the document, which is kept by the provider (e.g. Telekom, ZZI). The first data of the external code is the database name.

Document Number
|
In the Document Number field, the key of the stored document is displayed.
The key consists of flight data, code types of documents archive and serial number of the document e.g. 23-DMS0-000002.

Document Subject
|
Information about the entity that is connected to the document is displayed (e.g. the entity for which the invoice was created, the employee for whom the contract was imported…).

Document Subject Name 2
|
Information about the longer title (title 2) of the subject is displayed, which is defined in the Subjects register.

File information
|
The field contains a description of the attached file of the document stored. The description is written in XML format.

Time ins. (Time Insertion)
|
In the Time ins. field, enter the date and the time the document was imported into storage.
|
User ins. (User Insertion)
|
In the User ins. field, enter information about codes of the user who imported the document for storage.
|
Time chg. (Time Change)
|
In the Time chg. field, write the date and time of the last change on the document.
|
User chg. (Modified by user)
|
In the User chg. field, enter information about codes of the user who made the last change to the document.
