Creating A New Task

Atask is an element, which we create ourselves, is redirected to us by a superior or are made from eWorkflows.
A task (for example: confirming receipts, approving a leave request, etc.) can consist of one or several steps inside the business process workflow.
In this User Manual, we will get to know how to create a Task manually.

HINT
Creating a new task can be done at several locations inside the program:
- On all PANTHEON forms. We can access the To-Do form, for creating a new task, by clicking the
(New task), button, which is located on the toolbar;
- In Tab view on the To-Do form, ,, by right-clicking on the task list. We select New task from the list.

In Calendar view, on the To-Do form,, by right-clicking on the calendar. We select New task from the list.

CASE SUMMARY
The person responsible from marketing has to send an email with promotional offers for the next month to customers, at the end of the month. For this purpose, the person responsible creates a new task.
The person responsible does this in the following way:
- Opening the To-Do form
- Entering a new task

The person responsible in marketing wants to create a new task manually.
The person responsible opens the To-Do form and selects Tab view.
The person responsible right-clicks the Table of tasks.
A drop-down list appears, from which the person responsible selects New task.

The form Task opens up.

In the next step, the person responsible enters the desired data for creating a new task on the Task form.
- The person responsible enters the title of the task into the Title field.
- The person responsible defines the start and end time of the task duration, by entering the date and time 20.5.2024, 15:00 into the Start time field
- The person responsible enters the planned duration of the task into the Duration field: 30.
- The hour of the end of the task is automatically calculated in the End field.
- The person responsible continues with the input of data about the task completion for the user that the task is assigned to. The person responsible selects the person who the task is assigned to from the drop-down list in the Assigned to field.
- The person responsible copies the predefined template of the task, which they will use when sending the email, into the Task text field.

HINT
Copying and pasting the text inside the Task text field is done in the same way that it is done in the Office tools: Ctrl + C (copy) and Ctrl + V (paste). The text can be written manually as well.

- By checking the Recurrence checkbox in the lower right corner of the form, the person responsible activates the recurrence of the created task.
- The person responsible defines the Period, by selecting 'month' in the second field from the drop-down list, and entering the last day of the task into the Until field.
- In order to get a notification about the task, the person responsible activates a reminder, by selecting '30 minutes' from the drop-down list in the Reminder field.

When the person responsible is finished entering data about the task, they click the
button. The Information form, which says 'Data was successfully updated', appears on the screen.

The Task form is closed when the person responsible clicks the OK button.
Recurring created tasks appear in the Table of tasks.
