Subject codes

Subject codes are IDs for items or services that your business partners use when conducting business with you. The Post, for example, uses its own IDs for their items (ordinary letter, standard letter, etc.) which you enter to your items, e.g. postal service costs.

Clicking on any existing item opens a window with all the information about that item. The Subject codes option is in the right panel.

For each one of your Items, you can enter all subjects with whom you conduct business and their IDs for items and services that you usually use.

1. Toolbar

The toolbar still shows the shortcut tabs to the other registers and the buttons Delete (item), New (item), and Save are displayed on the right.

2. Header

There is a field with a drop-down list in the header that allows you to search by external ID according to their status:

  • N – Do not use external IDs
  • P – Use external ID for specific subject or subject type
  • K – Use external ID for all subjects
  • I – First search by items, then by external IDs

There is also the Controls of external IDs toggle button. This should be enabled if you want that program searches by external IDs (subject code).

WARNING

Controls of external IDs: If this toggle button is enabled (colored), then external ID's are controls are checking when searching in the Items register. If this toggle button is disabled (gray), external ID's controls are not checked in the Items register.

3. List of subject codes

The list of subject codes displays the codes you have entered. You can enter them with or withouth subjects, depending on the search function selected.

Subject

From the drop-down list in this field, select the business partner from whom you are buying a certain item or service.

HINT

If you want to use the entered ID and/or name for all subjects, select the corresponding settings in the Search ingsubject IDs field.

GTIN code

Enter the ID or code of an item or service that your business partner (subject) uses in their business. For example, enter the ID for the item "Ordinary letter", for which the supplier uses the ID or code 8032442.

You can also enter an EAN code.

Entering the ID field is mandatory. This field's value cannot be empty or "" (zero)!

Name

Enter the name of the item or service that your business partner (subject) uses in their business. For example, enter the name "Ordinary Letter", which is used by your supplier for naming the item.

Default code

Check the checkbox at the ID you want to set as the default ID. The code for the default ID applies to all item label printing, which is recommended if you use shelf labels for items (declarations).

Export GTIN

GTIN (Global Trade Item Number) is used for uniquely identifying a sales unit. Check the checkbox by the code that represents the global trade number of the item.

SKU

SKU (Stock Keeping Unit) is a barcode that can be scanned and is most commonly printed on item labels in retail. By checking the checkbox you mark that the entered code is an SKU code.
