Import Animals from Excel

 

In PANTHEON VET we have a possibility to import Animal owners or Animals data from external file, for example form Excel file. In this chapter, we will describe the procedure for importing animal data:

1. Import Animals

For that purpose on Owners and Animals  we select a button import / export  and option Import animals. Form to import animals wil appear:

 

Anima ID ID of Animal. 
Animal Name Name of Animal.
Gender Animal Gender ( 1- Male, 2- Fimale, 3- Male, castrated, 4- Female, spayed).
Animal Status Animal Status ( 1- Alive, 2- Dead, 3-Inactive).
Animal Type Type of Animal ( text). Enter the type of animal that is in the database where we import data. We do this in excel, which we will import
Animal Category Category of Animal (text). Enter thecategory  of animal that is in the database where we import data. We do this in excel, which we will import
Owner Data about Owner ( Subject ID).
Errors List of errors by import, if any. If some data is missing in imported Excel, user can find explanation in column Errors, what value exactly is missing. Missing data we put in excel that we import and when we fix all errors we import excel one more time.

 

2. Data import Template

Before importing data form Excel we have to first select appropriate template.  Double clik on field Template opens list of templates.

One  default templet is added as system template. Such templated cannot be deleted or edited. Below Name and Desctription there are two panels: 

  • Template designer which is an actual link between file structure and fields in PANTHEON and 
  • Available template fields which contains list of fields for which you can import data.

Each template has to be unique and each template field can appear only once in template designer (file cannot have two columns named Animal ID). Template creator supports .xls, .xlsx, .csv and .txt files.

Once you selected appropriate template you can add file(s) to form in different ways:

  • (1) by clicking on button Import from file and selecting desired file(s) or
  • (2) with drag and drop, where you drag desired file directly to import form.

If you are importing multiple files, you can select or drag and drop multiple files at once. You can also drag and drop whole folder to import form and all appropriate files will be imported.

Warning

If you have already selected one file and select another file, an IRIS message will appear that enables you to add file to existing data or overwrite exisiting data with new file.

If you want to review data that codes are applicable and animals exisit in the database, you can use function Check data. This function will review whole dataset and it is only applicable for large datasets.

 

3. Export Template

If you would like to export created template to fill file with data, you can use button 

Software will export Excel file with the same structure as template. It will also save it with the same name as the name of template. Template file will be saved in desired location and Excel will form two tabs:

  • Data, which is blank, contains only column names and it is used to fill it with data.
  • Help, which contains list and description of fields that can be imported in selected category (for reprodution same list as it is above in the table). This could be used as help which data can be imported or as description for which data has to be inserted in specific fields (e.g. codes for insemination type, result, etc.).

Once you click to save an import selected information, the software will enable you to either close the import window or finish import, leave the import window open, and import additional file.
