Workflow Log

WARNING

If you want to delete and/or overwrite an existing workflow that has already been used, you must first delete the workflow usage logs in Workflow Log.

Workflow Log provides an overview of the history and details of executed tasks, where you can view the history of executed workflows. In the Tasks tab, you can check which tasks have already been completed and which are still open.

The form can be accessed from the menu Settings | Program | Administration Panel by clicking the panel Database | Workflow Log or on the Workflow Log form by clicking the (Wizards) button and selecting the Log... option.

1. Filters

Name

Filter the display by the name or name of the workflow.

Users

From the drop-down list, select the user responsible for the task, which will be used as a criterion for displaying the relevant tasks. Clicking the (magnifier) icon opens a special search engine where you can perform the search using several users responsible at once.

Date from

Specify the start date of the period in which a task linked to the workflow has been created. The program displays in the table the tasks that have the entered date or a later date selected in the Created on column.

To

Specify the end date of the period in which a task linked to the workflow has been created. The program displays in the table the tasks that have the entered date or an earlier date selected in the Created on column.

Status

Define a status filter. The following options are available:

  • (None)
  • Unfinished (F)
  • Finished (T)
  • Archived (V)
  • For Archive (A) - use button to archive selected WFs.
  • For delete (D) - use button to delete selected WFs. WFs that were executed and finished in DMS module are not candidates for deleting. WFs that were executed and finished outside DMS module are candidates for deleting.

Possibility to delete multiple workflow Instances when archiving must be removed. Classification of documents specifies How long a workflow may be archived. When date expires, workflows are candidates for deletion. When no document is linked to workflow it is added as candidate.

Gather

Displays in the table all the tasks on workflows that match the filters defined.

2. Task history table

The table shows the history of tasks or workflows that have been run.

Instance Id

Each start of a workflow or instance is recorded. Displays the information on who and what is currently happening with a particular workflow or at which step a workflow has stopped.

Name

Name of the workflow.

Next time run

Time of the next workflow start.

Finished on

Date and time when the instance or task was completed.

User added

User who added the instance or task.

Created on

Date and time when the instance or task was created.

Modified on

Date and time when the instance or task was modified.

User changed

User who modified the instance or task.

(Empty)

When you move to the instance position or task history line, this field displays whether it is Unfinished or Finished.

3. Tabs

3.1 Tasks

The Tasks tab allows you to check which tasks have already been completed and which are still open.

Completed

When the task is completed, the checkbox is checked.

Name

Name of the task.

Task contact

User responsible for the task.

Comments

Comment entered on the task.

Title

Name of the workflow, which can also be entered manually if necessary.

Description

Description of the workflow, which can also be entered manually if necessary.

3.2 Log

The Log tab shows a detailed description of the steps that have been followed to complete the tasks.

Task

Name of the task.

Event date

Date and time of the task.

User

User linked to the task.

Operation

Operation that the user performs. For example, for the task "Check unconfirmed invoices", the user Adele Administrator has changed the status. This is recorded in the Operation field as "Status change".

Status

Shows the initial status of the task. For example, for the task "Check unconfirmed invoices" (see the image above), it is evident that the status is Unfinished.

Status to

Shows the status that the user has changed on the task. For example, for the task "Check unconfirmed invoices" (see the image above), the user Adele Administrator has changed the status from Unfinished to Finished, which is recorded in the Status to field.

 

3.3 Messages

The Messages tab shows information on the messages sent and received between users in the selected workflow.

Completed

When the message is completed, the checkbox is checked.

User

User who created/sent the message.

Message

Content of the message that has been received/sent.

Status

Status of the task.

Task

Name of the task.

Creation time

Date and time when the message was created.

Parent InstanceId

ID of the parent instance or step.

Link Key

Shows the link key.

Task type

Type of task linked to the message.

Workflow

Name of the workflow linked to the message.

4.Details of the workflow

Depending on selected line in the task history table, the step to which the record in the table is linked is highlighted in green on the diagram image.
