Chart of Accounts

The chart of accounts is the fundamental element of accounting. Most registers reference it. PANTHEON comes with a predefined chart of accounts, but you can customize it to suit the needs of your organization.

 

An account in the Chart of accounts has to have at least an account code and a description. There is a number of other options for each account that are applied when when a journal entry to that account is posted (see also Manual Posting and Journal Entry):

Code It displays the account code, up to 13 digits.
Description It displays account description, up to 250 characters.
Subj. It defines whether it is mandatory to enter the subject when posting to this account. If this option is enabled but no subject is supplied in a journal entry line , or the subject does not exist, an error message is returned  (see Subject must be defined).
Line This option is only active if subject entry is mandatory. It defines whether this account is specifically for customers or suppliers, or neither. The options are:
  • N - Not a subject account
  • K - Customer/Receivables
  • D - Supplier/Payables
  • V - Do not use subject (for linked document)

The setting is used in year closure document creation. Usually account numbers for posting receivables and payables are defined as K - Customer or D - Supplier.

   
Dept. It defines whether it is mandatory to enter the department  when posting to this account. If this option is enabled but no department is supplied in a journal entry line, or the department does not exist, an error message is returned (see Department must be defined).
Cost. Ctr. It defines whether it is mandatory to enter the cost center when posting to this account. If this option is enabled but no cost center is supplied in a journal entry line, or the cost center does not exist, an error message is returned (see Cost center must be defined).
Posting It defines to which side of the account posting is allowed.
  • N - No posting allowed - No posts can be made to this account. An error message is returned if trying to post to this account or select it as an account to post to in any of the registers (see Posting to this account (xx) not allowed). Accounts where no posting is allowed are colored red to quickly distinguish them from others.
  • B - Both sides - Posting is allowed to both the credit and the debit side of the account.
  • D - Debit side only - Posting is allowed only to the debit side of this account. An error message is returned if trying to post to the credit side (see Cannot post to the credit side of this account (xx)).
  • K - Credit side only - Posting is allowed only to the credit side of this account. An error message is returned if trying to post to the debit side (see Cannot post to the debit side of this account (xx)).

This parameter cannot be left empty or contain anything else than the above mentioned options, otherwise an error message is returned (see Posting side must be one of the following: K- credit side only,  D - Debit side only, B - Both sides or N - Posting not allowed).

Contra Account It defines whether it is mandatory to enter the contra account when posting to this account. If this option is enabled but no contra account is supplied in a journal entry line , or the contra account does not exist, an error message is returned (see Contra account must be defined).
Doc. It defines whether it is mandatory to enter the document  when posting to this account. If this option is enabled but no document is supplied in a journal entry line , or the document does not exist, an error message is returned (see Document must be defined).
Check Doc. (used only for manual posting) It defines whether PANTHEON checks if the entered document exists or if it refers to a different subject than supplied in the journal entry line. A warning is shown if this is so. 

The journal entry is saved despite the warning.

Doc. Date It defines whether it is mandatory to enter the document date  when posting to this account. If this option is enabled but no document date is supplied in a journal entry line  in manual posting, an error message is returned (see Document date must be defined).
Linked Doc. It defines whether it is mandatory to enter the linked document when posting to this account. If this option is enabled but no linked document is supplied in a journal entry line , or the linked document does not exist, an error message is returned (see Linked document must be defined).
Value Date It defines whether it is mandatory to enter the due date when posting to this account. If this option is enabled but no due date is supplied in a journal entry line  in manual posting, an error message is returned (see Value date must be defined).
Ext. Doc. It defines whether it is mandatory to enter the external document  when posting to this account. If this option is enabled but no external document is supplied in a journal entry line  in manual posting, an error message is returned (see External document must be defined).
Currency It defines whether posts in foreign currencies to this account are allowed:
Clo. It defines how this account should be closed at year-end:
  • If this option is enabled the account will be closed in the local and foreign currencies.
  • If this option is disabled the account will be closed in the local currency only.
    By default, this option is enabled for accounts in foreign currencies (currency set to T - Foreign Currency Only'). It can be enabled also for account in any currency (currency' set to N - Any).
  • If this option is enabled and the currency is set to F - Foreign Currency Only and then changed to F - National Currency Only, the option is automatically disabled.
  • If the currency is changed from T- Foreign currency only to N - Any, the option is not changed.
Note It defines whether it is mandatory to enter the note when posting to this account. If this option is enabled but no note is supplied in a journal entry line  in manual posting, an error message is returned (see Note must be defined).
Archive It defines how the account should be archived:
  • O - Archive all subsidiary accounts - all receivable and payable accounts will be archived
  • Z - Archive closed subsidiary accounts - only closed receivable and payable accounts will be archived
Active

Dbl click opens codebooks of types. Active types of account can be used for several purposes. You can define different types of account and that types can be choosen for financial reports. Additionaly you can define if types are active or not in reports. If type of account is not active, msg pop up at generating reports even if the formula or selected criteria are placed.

 

 

Record-only account Account number for extra posting in public sector. Used only in SI  localization.
Record-only contra-account Account number for extra posting in public sector. Used only in SI  localization.
CIS CIS code for CIS report for Bank of Slovenia. Used only in SI localization.
Corporate Tax Checked if account is used in Corporate tax report. Used only in SI  an CRO localization.
Exchange Diff.

Checked switcher results in excluded accounts in automatic posting of exchange differences.

Checked if account is used for manual posting of exchange differences. Manual posting allows user to enter exchange rate 0,00.

Issued Inv.

Defines how department and cost center are posted when posting issued and POS documents:

1 - Not set

2 - No department and cost center specified

3 - Department and cost center from line

4 - Department from line

5 - Cost center from line

6 - Department from document header

Received Inv.

Defines how department and cost center are posted when posting received documents:

1 - Not set

2 - No department and cost center specified

3 - Department and cost center from line

4 - Department from line

5 - Cost center from line

6 - Department from document header

Account 2 Defines Account code 2 for specific account code. This files is not unique and has length up to 20 characters. More account codes can have the same Account 2.
000001.gif Account codes can be tailored to your organization's needs. Simply change the account code in the chart of accounts and it will be updated everywhere in the database (see Changing Account Code).
000001.gif New accounts can be inserted anywhere. They will be sorted according to the account code when the chart of accounts is reopened.

Click the New record icon  to insert a new record at the position of the currently selected line, moving down all records below it.

Click the Delete record icon  to delete the account from the chart of accounts.

PANTHEON will check whether the account has any posts to it before deleting. If there are any, an error message will be returned (see Record cannot be deleted because records in the following tables depend on it) subsequently the account will not be deleted.

000001.gif The chart of accounts is only for account administration. Actual posting takes place in the Financials module!
In PANTHEON,  no accounting transactions can be made without a chart of accounts!

In case of any changes in the chart of accounts, the program will display a confirmation message. If the changes won't be confirmed,the changes will not be saved.
