Contacts

Contacts

In the Contacts table you can enter and any optional number of contact persons of the subject. The name of the contact person is displayed together with subject name and address.

 

 

Enter contacts in a specially-designed form. Using the table you can quickly access contact information.

1. Entering Information about Contacts

 

Click contact's name or surname to open input panel. In the top section you can view general contact information. Other relevant contact information can, however, be found in the bottom section panels.

When contact data and the Transfer button are inactive, it means that the contact was already transferred to company employees or the Subjects register. Clicking on the Transfer button opens IRIS 8047 - Enter contact persons

2. Contact Data

ID (and status)

The contact's ID (It is generated automatically by the program.).

 

Check the box if the contact person is still active (employed at the company, etc.).

Contact persons who are not assigned an active status do not appear in the selection table when trying to enter them in the documents of Goods, Orders, Customs, Service modules.

 

000001.gif An inactive contact person is not deleted - however, the status is changed to inactive - since you could change linked documents where it appears as contact.

The inactive contact is colored red.

Name and Surname

Enter name and surname and any other information of the contact person:
  • Prefix - Enter title.
  • Name - Enter name of contact person.
  • Middle - You can enter the middle name.
  • Surname - Enter surname of contact person.
  • - If the contact of the company does not yet exist as an employee recorded in the personal folder, by clicking on the command create employee we create it from the code list of entities. If there is a personal folder for the employee, clicking on the button opens his personal folder.

Other Information

In the second column you can enter other data about the contact.
  • Date of Birth - Set date of birth.
  • Function - Enter or select contact's function.
  • Division - Enter or select a division.
  • Position - Enter or select contact's position in company.
  • Dept. - Enter or select a department where the contact person is employed.
  • Registration No. - Enter registration number.

 

Contact information

Enter contact information in the right-hand side column.

Set contact information from the dropdown in the box.

You can set the following:

  • Preferred Phone
  • Internal Phone
  • Work Fax
  • Home Phone
  • Home Fax
  • Mobile
  • Pager
  • Videophone
  • Modem
  • Car Phone
  • e-Mail
  • Other e-Mail Addresses
  • Work Web Site
  • EDI Address
  • Skype
  • Contact for Outstanding Items
  • SMS notification
  • Viber
  • MFA SMS Authentication

 

 

In the bottom section you will find the following tabs:

- Users - Enter Pantheon or Web users to assigned them authorizations.

- History - Here you can view and enter all tasks performed by the contact.

- Tasks - View or set tasks.

- Note - View or enter additional notes.

- More - Here are data about Custom Filed , certificate and scnaned signature

- Extra- Here you can find additional information about the contact.

 

3. Contact Data - Icons

 

There are also 2 icons available here:

011906.gif Clicking it displays all data for the currently selected contact.
011907.gif Clicking it displays all data about contacts of the currently selected subject.

 

4. Contact Data - Export vCard/Import vCard

 

To import or export data in *.vcf format (MS Outlook - Contacts), click the buttons below.

 

Stores records from the Contacts register in *.vcf format.
Imports records from the Contacts register in *.vcf format.

 

5. Contact Data - Tabs

 

Users

In the Users tab, we can create a user account for the contact person using the "Create User" button, thus enabling us to work with Pantheon. Using the "Create user" button opens the admin console for this contact person, where we actually add this contact person / program user referent - see instructions for adding and deleting users in the administrator console.

Here you can create a PANTHEON user account.

PANTHEON Users

User Name Enter user name.
Language Set PANTHEON user interface language.

 

Web Users

User Name Enter user name.
Web Password You must enter web password for user.
Confirm Web Pass Retype password to confirm it.

 

When creating a user, a control is added that the contact person must have entered the first name and last name, which is also displayed in the Contact person / Referent drop-down menu in the administrator console.

History:

Enter all tasks executed by an employee or contact person in the History panel.

They can be the following:

  • internal record of time spend on tasks
  • successful telephone conversations
  • planned meeting or meetings executed according to plans

 

No. It is generated automatically and is a successive number of an event recorded in CHRONOS.
Type Select type of task from dropdown (telephone conversation, office work, etc.).
Description Enter description of the event or task recorded in history.
Date of Solution Enter date of solution.

 

Tasks:

To-do tasks are entered in the Tasks panel.

 

No. The number of record is generated automatically.
Name Enter task name (must not exceed 255 characters).
Deadline Enter date and time when the to-do task must be completed.
Created Date of created task.

 

Note:

You can enter notes about the contact in the Note panel.

No. The number of record is generated automatically.
Private There are two types of notes:
  • one type is classified private, which can only be read by the person who entered it, and
  • public, which is accessible to all.
Date of Entry The current date is entered by default.
Note Enter any note.

 

More:

Max.Discunt for User

 Here we can set max. discount for each user. Every user can have different settings for discount.

 000001.gif  In case the user has set a lower allowable discount,  that  is set on the Subject and / or Items, the program

              will take settings from Subjekt  and/or Item.           

 

Here you can specify extra information about the contact:

Custom Fields

 

  • Orders - If checked, the contact is able to place orders.
  • Bank Account - If checked, the contact can view accounts.
  • Stock - If checked, the contact can view stock availability.
  • Financials - If checked, the contact can view subject accounts.
