Mass Transferring to Fixed Assets Register

PANTHEON

One or multiple fixed assets (FAs) can be transferred from the Register – Fixed Assets in Acquisition register to either the Fixed Assets or Small Tools registers. If multiple FAs are selected for transfer, they are all merged into a single new FA. This functionality is particularly useful when several acquisition entries, such as partial deliveries, components of a larger FA, or related purchases, need to be consolidated into a single, finalized FA. If only one FA is selected, it will be transferred as a single FA.

Warning

This feature is only available in the Register – Fixed Assets in Acquisition register

Case summary

The components of a new sewing machine were delivered separately and each was recorded individually in the Fixed Assets in Acquisition register. After the final component arrived, the sewing machine was assembled and placed into service. The person responsible will use the Mass Transfer to FA Register feature to transfer all components to the Fixed Assets register, consolidating them into a single FA.

This is done as follows:

  1. Accessing the Value Tab
  2. Transferring to Fixed Assets Register
  3. Reviewing the New Fixed Asset
  4. Reviewing the Fixed Asset in Acquisition

1. Accessing the Value Tab

Person responsible opens the FAs in acquisition register by navigating to Financials | Fixed Assets | Register – Fixed Assets in Acquisition.

The Register – Fixed Assets in Acquisition register opens.

The person responsible clicks the Value tab within any inventory number.

In the next step, the person responsible transfers the FAs in acquisition to the Fixed Assets register.

2. Transferring to Fixed Assets Register

The person responsible right-clicks anywhere in the Value tab and selects Mass Transfer to FA Register.

Mass Transfer to FA Register window opens, displaying all eligible FAs in acquisition.

The program also shows the new inventory number 00047, which will be created automatically once the transfer is completed.

The person responsible performs the following steps:

  • Enters the FA Name: Sewing Machine.
  • Enters the Depreciation Category: MACHIN and  Department: Manufacturing.
  • Sets the Activation Date to 1. 8. 2025.
  • Selects the Group: Production and sets the Status to Active.
  • Deselects all FAs in acquisition that are not part of the sewing machine by clearing the checkboxes in the Sel. column.

After deselecting the FAs that are not part of the sewing machine, the program automatically adjusts the total Price of the fixed FA to €13.100.

The Type is already defined as Fixed Asset and does not require any changes.

After entering and verifying all the data, the person responsible clicks the Transfer button to complete the process.

The Fixed Assets register opens, showing the newly created inventory number 00047, which contains all the information entered in the Mass Transfer to FA Register form.

The FA entry is created and its data can now be adjusted accordingly. In the next step, the person responsible reviews the new FA.

3. Reviewing the New Fixed Asset

To review which FAs in acquisition were combined under the new inventory number 00047, the person responsible opens the FA Links tab, where all transferred FAs in acquisition are listed.

In the next step, the person responsible reviews the FA in acquisition with the inventory number 00009.

4. Reviewing the Fixed Asset in Acquisition

The person responsible navigates back to the Register – Fixed Assets in Acquisition register and uses the Toolbar functions to navigate to inventory number 00009.

When inventory number 00009 is selected, the person responsible opens the Value tab, where a new Entry Type 43 - Transfer to fixed asset register has been created, indicating that the FA in acquisition has been transferred to the Fixed Assets register.

The same Entry Types appears for all FAs in acquisition that have been transferred in this way.

The person responsible has successfully transferred multiple FAs in acquisition, consolidating them into a single FA.
