OCR for ePosting (ePost OCR)

The eWorkflow enables you to use OCR (Optical Character Recognition) technology to convert data from a PDF document into an e-invoice format (JSON format). This eWorkflow is part of a set of eWorkflows that enable the operation of the ePosting system, as shown in the flow chart below.

HINT

OCR (Optical Character Recognition) is a computer technology that converts characters such as numbers, letters and punctuation marks from printed or hand-written documents into electronic form. OCR is commonly used for scanned PDF documents, but can also create a computer-readable version of a document.

 

The eWorkflow OCR for ePosting can read a wide range of data. Usually it can read all the standard, i.e. mandatory components on an invoice:

  • the tax number and name of the sender;
  • net amount;
  • due date, etc.

Two ways of OCR reading of a PDF document are available:

  1. PDF Document Parsing Summarized by Tax Rate (vat-rate-invoice): The system summarizes the invoice by tax rate and does not read the invoice lines. The received invoice created by importing an e-invoice contains as many lines as there were different tax rates on the scanned invoice.

  1. PDF Document Parsing Detailed by Line Item (line-item-invoice): the system reads the data from the lines of the invoice. The received invoice created by importing the e-invoice contains as many lines as there were scanned invoice lines.

WARNING
  • If this setting has not been previously defined for the subject, the default reading mode is summarized by tax rate (vat-rate-invoice). For a more detailed explanation and demonstration of the OCR reading, see the chapter Setting up the method of PDF parsing.
  • In addition, the reading of a PDF document also depends on its quality.

The central element of this eWorkflow is the Send file block, as shown in the image below.

The block sends the file to the OCR reader and reads the response. The exchange process takes place using the Mailbox for ePosting.

HINT

The mailbox can be added manually or transferred using the Web Service. If the eWorkflow has been transferred to the register before the mailbox, the relevant mailbox must be selected again.

 

For the eWorkflow to work properly, you first need to import it via PANTHEON Web Service and then define the basic eWorkflow settings.
