Entry of treatment (general)

 

Treatment is a record in the document (animal file) that is created during each animal examination. It records data about the owner and examined animals, anamnesis and diagnosis, treatment procedure or vaccination, as well as medications used and services provided. In this way, it affects the stock in the warehouse (pharmacy) and prepares the basis for issuing an invoice. 

In this chapter, we will present an example of entering a document Treatment, which can be accessed in the menu Veterinary | Treatment.

CASE DESCRIPTION

In the veterinary clinic, owner Adam Chihuahua brings in the dog Lisa because she injured her paw. The receptionist accepts them and checks if the owner and animal data are already entered. Then, they enter the data about the animal's condition or the reason for the veterinary visit. The owner with the animal moves to the examination room, where the veterinarian examines the animal in detail, treats the wound, and administers medication. The veterinarian provides the owner with instructions on how to properly care for the animal during recovery. After the examination, the owner returns to the reception with the animal, where they are given medications to take home. The owner also wants to buy food for the hamster. The receptionist prepares an invoice for the services rendered and goods. The entire process of entering data into the treatment document is done by the receptionist and veterinarian in the following steps:

  1. Searching for owner / animal
  2. Creating a treatment document for the animal
  3. Entering data in the Owner / Animal entry tab
  4. Entering data in the Treatment tab
  5. Entering data in the Services rendered tab
  6. Completing purchase data
  7. Creating an invoice

1. Searching for owner / animal

The responsible person in the veterinary clinic checks upon the arrival of the owner and animal whether they are already registered in the program and completes the data if necessary. 

The detailed procedure for searching for the owner or animal is described in the chapter Search. The detailed procedure for entering new data is described in the chapters Owner entry and Animal entry.

2. Creating a treatment document for the animal

The responsible person creates a treatment document where data about the treatment of the animal can be entered. 

  • In the menu Veterinary | Treatment selects in our case the type of document: CLI3 - Clinic. 

  • The CLI3 - Clinic form opens, showing the last created treatment document.

  • The responsible person clicks the button Enter record.

  • A new treatment document is created, which has fields cleared for new data entries. In our case, the document number is created: 23-CLI3-000001, when the responsible person clicks the button Save. 
WARNING

The program automatically assigns the next sequential number to the document when the user clicks the button Save. 

 

 

TIP

You can also create a new treatment document in the Owner / Animal register, by clicking the button Treatment of one animal or Treatment of multiple animals. In this case, you can skip the next described step (3. Entering data in the Owner / Animal entry tab).

3. Entering data in the Owner / Animal entry tab

The responsible person continues to enter data about the owner and the animal that will be treated in the treatment document: 23-CLI3-000001.

TIP

To add data about the owner and animal, you can use the button Reader, which allows you to quickly and easily read the animal's microchip barcode. The detailed procedure is described in the chapter Reader

  • The responsible person enters in the field Subject : Adam. The program offers a list of possible selections. From the dropdown list, they select the desired person by clicking: Adam Chihuahua. 

  • The fields with data about the owner, which were previously entered in the Owner / Animal register.

  • The responsible person continues with entering data in the field Veterinarian, where they select the veterinarian who will treat the animal from the dropdown list. In our case, they select: Valerija Veterinarian. 

  • The responsible person continues by selecting the animal that the veterinarian will treat. In the Animal ID field, they select the animal: Lisa from the dropdown list. TIP

The responsible person continues to enter data in the

Treatment. The detailed procedure for entering data is described in the chapter 

Treatment .In our case, the responsible person entered the following data in the sub-tab

The responsible person wants to enter data about the items for services, materials, or medications that were used in the treatment of the animal.

The detailed procedure is described in the chapter 

Invoicing .In our case, the responsible person entered the following data in the

The responsible person wants to complete the data about the purchase of additional food that the owner needs for the hamster.

The responsible person clicks on the Owner / Animal entry tab. 

  • Clicks the button
  • Add animal and adds the hamster. The detailed procedure for adding an animal is described in the chapter 
  • Add animal.

The responsible person clicks on the

  • Services rendered tab.
  • Clicks in the field Title, where they position themselves on the animal: Viny. 
  • Then in the Invoicing tab, they add ID: FoodRodent.
  • The detailed procedure for adding IDs is described in the chapter Calculate by: IDs.

7. Creating an invoice

The responsible person wants to create an invoice from the treatment where all data is entered.

In our case, the responsible person created the document: 23-3004-000001.

The responsible person clicks the button Invoice and opens the print preview: 6V8 - Invoice and clinic log.

Clicks the button Print, to print the output.
