Codebook of owners and animals

Veterinary clinics record lists of animals (patients) in connection with their owners. When an owner comes for the first time and brings their animal to the veterinary clinic, they are first entered into the program owner. A unique owner code is created, which also allows differentiation between owners with the same name. Then, the owner's animals are entered into the program, each distinguished by a unique identification code.

We have prepared a user manual with examples to help you better understand the functionality of the codebook for owners and animals. Access the codebook in the menu Veterinary | Codebooks |​ Codebook of owners and animals.

 We have divided the manual into the following chapters:

Entering an owner

The owner is entered into the program during their first visit to the veterinary clinic. Each owner receives an identification code upon entry into the program, which distinguishes them from others. The responsible person collects basic information from the owner needed for business purposes. In this chapter, we have prepared an example of creating a new code for an owner.

Documentation

In Documentation, various documents are stored. The animal owner has in Documentation of the PANTHEON VET program stored both the medical records of all animals and contracts, consents, etc. In this chapter, we will present an example of how to access the overview of all the owner's documentation.

Financial data

For each customer or owner, various payment data can be entered (limit, number of installments, payment deadline...). A statement can be entered, which will be printed by default on invoices issued to this entity, as well as data on received guarantees, debt insurance, monetary discounts, retained funds, etc. In this chapter, we will present an example of how to access the owner's financial data. 

GMIDs

Animal owners may have their animals at different locations (pasture in the mountains, barns at different addresses, temporary housing of animals in another owner's barn, etc.). Official codes, known as G-MID, are obtained for the locations. In Slovenia, farm animals must, in accordance with the law, be location-registered, specifying the GMID code. In this chapter, we will present an example of entering an additional location code for animals (GMID).

Filters in the Animal Overview list

To make searching for animals easier, the Animal Overview list of the owner can be filtered: by name, type, identification code, etc. In this chapter, we will present an example of using filters in the Animal Overview.

Entering an animal

Veterinary clinics record lists of animals (patients) in connection with their owners. Some types of animals are not recorded individually but as a group (bees, poultry, pigs, etc.). When the veterinarian first examines a group of animals, the group is entered into the program, where a unique code for the group of animals is created. Copy

When multiple animals share many identical data (e.g., a litter of puppies: data about parents, date of birth, registration date, type, breed, etc.), the first animal can be entered, and for the others, the data copying functionality can be used, adjusting only the data that differ. This speeds up the entry process and reduces the chance of errors during entry. In this chapter, we will present an example of copying data when creating a code for a puppy. 

Single animal treatment

When a veterinarian examines only one animal during treatment, a document for the animal's treatment can be created from  Codebook of owners and animals, using the button Single animal treatment. In this chapter, we will present an example of creating a new treatment for one animal.

Multiple animal treatment

Creating a treatment document for multiple animals simultaneously can be done from Codebook of owners and animals. Multiple animals are treated on the same document when the owner brings several of their animals to the veterinary clinic (or in the field) for examination or treatment by the veterinarian.

Cancel

When entering data, a user may accidentally make a change or decide not to save the entered data. For this purpose, changes can be easily canceled by clicking the button. In this chapter, we will present an example of using the Cancelbutton. 

Delete

When entering data, a user may create a record or code that they later wish to delete. In this chapter, we will present an example of using the Delete

button. 

History Animal History Overview provides a comprehensive overview of events recorded for the animal. This allows the veterinarian to review documentation (medical records, etc.) and all created treatments in one place, gaining a quick insight into the animal's health status. Search Codebook of owners and animals 

contains all the basic data needed in the veterinary clinic for their work with clients or patients. The basic step for the receptionist when an owner brings an animal to the veterinary clinic is to search for the owner or animal in the codebook. In this chapter, we will present an example of searching for an owner and animal.

Print label

Veterinarians often need to transcribe data collected about owners and animals onto various forms or animal record books that owners bring with them. The PANTHEON VET program enables easy and quick printing of labels with the required data. We have prepared examples describing the printing of various labels.

Printouts The Codebook of owners and animals contains a large amount of different data. For this purpose, various printout formats are prepared, combining desired data for use: report preparation, documents for dog deregistration, declaration of a shepherd dog, etc.
