Metadata

Metadata is information about data or tags that describe the type of content; they contain, for example, the name of the document, the type of document, its size, the name of the person who created the document, etc.

The Metadata tab can be found in the Classification Scheme.

Depending on the settings on the classification scheme, metadata may or may not be required to define the document. The main purpose is to equip the document with metadata and thus make it easier to search, filter and sort it in the documentation.

HINT

When receiving a document, for example an invoice, we also receive its basic information (place of issue, amount, sender, etc.). When the account goes through the liquidation process, it can be equipped with this so-called metadata that helps us with the logical placement of the document within the organization, e.g. contract number, cost carriers, etc. For more information, see the user case Document Metadata.

Below is a description of the tab and elements.

Classification

In this field in the classification scheme, you can choose from the drop-down list the classification from which you want to copy the metadata. The created classifications can be seen in the Classification tables.

Copy

By clicking on the button, we copy the metadata from the selected classification in the field Classification.

Sequence

In the box, mark the order for entering metadata in the fields.

Mandatory

Mark the checkbox if you want the metadata field not to be empty, i.e., metadata entry is mandatory.

Variable Name

The name of the metadata variable is written in the field.

Display Name

The field is intended for entering the name of the metadata field that is displayed to the user.

Lookup Type

In the field from the drop-down list, select the type of insight for entering metadata.

Register Data Type

In the field from the drop-down list, set the type of data to be entered (number, date, text, etc.).

Default Value

You can enter the default value of the variable in the field or leave the field empty.

Document Field

From the drop-down list in the column, we can select the field of the document to be synchronized. The options are:

  • Date
  • Date to
  • Subject
  • Person Responsible
  • Classification

Visible

Mark the checkbox if you want the metadata field to be visible to the user.

The selected field is marked in yellow.
