As of version 10.00.17.20, a DMS migrator starts when you enter the program. It can also be start in DMS under the Import/Export data icon. With the wizard, the documents will be transferred to DMS and stored in the cloud or local database, depending on the license. 

 

The start window of wizard shows information about links to documents in the Pantheon to local folders (tab Documents), the number of documents in DMS and the space they occupy.

If you want to be reminded next time you can click Remind me Next Time button. This will "redirect" the wizard to you and it will only appear when you start the program, after that other users will no longer see the wizard at start of the Pantheon.

If you are not responsible for the migration of documents to DMS, you can redirect the wizard to the responsible person in company by selecting that person in the drop down list below and clicking on the Redirect button. When you redirect it to another user, the wizard will only appear to that user, after that other users will no longer see the wizard at the start of the Pantheon.

 

After clicking the next button we can set the classifications and the corresponding storage for the individual classifications under tab Classification plan. It is very important to select in the Storage box the appropriate choice of eDocumentation or Secure eDocumentation, as this determines where the documents for this classification will be stored. Of course, we need to have a subscription for proper storage. All documents in the DMS must have a certain classification.

 

On the Document types tab we can link the document types with the corresponding classifications. E.g. Invoices received that are linked to local folders in Documet type 120 (Documents tab) are here linked to the appropriate classification. Upon transfer to the DMS, these documents will be equipped with the classification entered here and stored in the storage designated for this classification in the classification plan. We should setup appropriate classification for all Documet types that have links to files on local disks.

Other documents sent from Documet types will also be equipped by the classification specified here, e.g. the invoice sent from the Documet type 300 to the DMS will be equipped by the classification specified here.

 

 

 

The next window will display documents linked to local or shared disks. With the Upload button the documents are imported to Pantheon DMS. After importing, the Documents are available in both the DMS and the eDocuments tab, which is located in the same location as the Documents tab, where the document links were located. After successful import, the Documents tab is removed and we only see eDocuments, where we find all the documents that were previously only linked to Patnheon and are now stored in DMS in the appropriate storage.

 

After importing Documents, we get a list of successfully imported files, and error messages if any document could not be imported. For documents that have not been successfully imported, we can repeat the process by clicking Retry Upload. If there are unused links by clicking Delete Invalid Links, we can delete links that no longer have a document on local disk. After successful import and deleting invalid links the Documents tab in Pantheon is removed, eDocuments replacing it.

 

In the next window, we can import files that we exported from another DMS. Files with the same prefix will be imported together. Meta data is written in a separate file. Select the folder containing the files of the appropriate format that we want to import and press Load and then Upload to imported it in DMS.

 

In the Upload to the Cloud window, it shows us documents that have not yet been stored in the storage set on the classifications. Clicking on Upload Storage saves the documents to their proper storage set on the classifications.

By clicking on the Show Archived you can see the documents that are already stored in the corresponding storage that are set on the classifications.

 

Clicking on the Info button displays a DMS notification and information and the option to order eDokumetation.

 

Last window is just a notification of the completed DMS migration.
