New Absence

In the Personnel | Calendars | New Absence module, you can enter absences for employees. According to Article 141 of ZDR, working time includes the effective working time, break time, and justified absences in accordance with legislation and Collective Agreement or General Act. Justified absences that count as working time include:

1. Annual leave,

2. Paid absence from work due to personal circumstances,

3. Absence from work due to celebration,

4. Absence from work due to health reasons, which also includes absence due to blood donation,

5. Absence from work due to the performance of a function or obligation under special laws,

6. Absence from work due to education and also absence from work due to use of parental leave, and

7. Absence from work due to the search for a new job during the notice period.

HINT

Although the Act does not name them as justified absences, according to the content itself, the following absences can also be justified: 8. When an employee is absent due to reasons on the employer's part, 9. When the employee is unable to work due to force majeure and time, 10. When the employer forbids the performance of work in the process of regular or extraordinary dismissal. For more information, click HERE.

The following case presents how to enter absences into an employee's Calendar in PANTHEON.

CASE SUMMARY

The person responsible wants to enter an absence for employee William Worker to the Calendar, for leave from 28.4.2022 to 6.5.2022. This is done as follows:

  1. Creating a New Absence
  2. Entering Data about the Absence
  3. Copying the Absence
  4. Overviewing the Absence
  5. Printing an Absence Permit

1. Creating a New Absence

To create a new absence, the person responsible selects Personnel | Calendar | New Absence.

A New Absence form opens.

HINT

The form for entering absences can also be accessed from the Employee Files | Absence | Absence Overview, by clicking the (New Absence) button or manually entering absence types into lines in the Absence Overview panel, as shown in the image below.

 

The person responsible enters employee's name: William Worker, department: Manufacturing, and selects Annual Leave in the Absence Type field.

WARNING

The absence types must first be entered in Calendar Entry Types | Hera (annual, medical leave), before the type can be selected in the Absence Type field.

2. Entering Data about the Absence

Next, the person responsible enters data about the worker's absence.

In the Absent From field, the person responsible selects the start date of absence, in this case 28.4.2022.

In the Absent To field, the person responsible selects the date the employee comes back to work, in this case 6.5.2022.

The Year field marks the year, for which the worker is using leave. The choice is between last and current year.

The year data is transferred to the Employee File, to the Absence Overview panel.

By checking the Finished checkbox, the person responsible marks the end of the absence. The data is copied to the Employee File | Leave.

If needed, the person responsible fills in the Time From/To fields. These fields are used for shorter absences.

3. Copying the Absence

To record the absence data in the employee's Calendar and Employee File, the absence must be copied.

When all data about the new absence is entered, the person responsible clicks the Create New Absence button.

The program shows the message: Absence copy complete!

The person responsible clicks the Confirm button.

4. Overviewing the Absence

To view an employee's absences, the person responsible selects the menu Personnel | Employee File.

In the Employee File, the person responsible clicks the Absence | Absence Overview panel.

WARNING

An absence entry can be deleted in the Absence Overview panel, by clicking the (Delete Absence) button, or by pressing the key combination +.

The absences can also be viewed in the Calendar, by clicking the (Absence Overview) button.

The employee's calendar overview opens.

5. Printing an Absence Permit

The person responsible can also print a Leave Permit for the newly entered absence. To do so, the person responsible must check the Print Leave Permit checkbox before clicking the Create Absence button.

Next, the person responsible selects the menu Personnel | Calendars | Absence Overview.

Using the navigation keys, the person responsible selects William Worker in the taskbar.

The selected employee's calendar opens with absence records.

Clicking the (Reports) button opens an Absence Reports form.

The person responsible selects the report type: 390 – Absence Permit.
