Contract rearing

Contract rearing

Contract rearing module is used to record animals, reared under contract from another owner. We insert animals in our database, record all information as usual but invoice rearing to animal owner. Invoices are created automatically based on predefined terms.

Adding contracts with details

User can adds multiple contracts to one holding. Each contract has customized terms and information about animals, reared under individual contract. As we can see on screenshot below, we first set general information about contract. We enter information like subject of contract (we will issue invoices to him), contract ID (added to cost centers) and description, start and end date, country of animal origin, created document type and currency of calculated cost. Reoccurring invoicing document will be created as header of this contract.

In the lower section we have two panels, that describe details about contract. If we want to select items that will be added to invoice, we need to add them to items with item type service. Costs are divided in upkeep costs and additional costs that will be added to created invoice. We can add one upkeep cost details on contract and multiple additional costs. All costs are calculated on monthly basis.

Upkeep details

Upkeep costs are costs for animal upkeep and are calculated per animal. We can select between two options of calculation:

  • Fixed daily costs calculates fixed cost per day per animal.
  • Price/kg and fixed weight gain/day calculates upkeep costs from price per kg and fixed weight gain of animal per day.

Based on selected option we have to insert missing values (price and weight gain per day).

Additional details

In additional details we can add additional costs per contract. In our case we added costs of cleaning and housing as arranged costs which will be added to invoice.

In the bottom of the page we have four tabs with information about animals on contract with details about breeding days, already invoiced costs, upkeep costs and other costs.

Adding animals to contract

There are multiple options to connect animals with contraxt.Contracts can be added before animals are inserted or afterwards.

  • Import animals from Excel, where we can add contract ID to Excel at import or add contract ID on grid before we save animals to database.
  • Right click on animal register, where we can add contract ID to individual animal already in database through right click on animal on animal register.

Preparing invoice

To prepare invoice, we need tom click on button Recurring invoicing. Modal window will list all contracts, with date of last created invoice and enable us to prepare new invoice. We just need to determine new  invoicing period (usually we select last day of invoicing month). Invoice will be created automatically and we can see details in tabs Invoiced and Upkeep costs. Tab other costs will show documents, where contract was added as cost center.
