Creating an Archive

In PANTHEON, there is one default Archive (DMS0 Archive), but you can arrange separated archives for different document types, according to company needs.

This chapter presents how to create a new Archive and determine the correct settings.

CASE SUMMARY

The Tecta company is carrying out projects in tent assembly. The company wants to suitably store project documentation of assembly, as well as issued invoices. The person responsible for archiving assembly documents creates a separate archive and arranges its settings.

The person responsible selects Settings | Program | Document types in the menu.

The Document types register window opens.

The person responsible selects the Archive panel, to create a new archive document type, for archiving issuing assembly documents.

In the toolbar, the person responsible clicks the (Insert record) button and creates a new Archive.

Warning

For placing individual document types in Documentation, you can also use the pre-prepared Archive DMS0.

The person responsible determines the code "PROJ" for the new archive in the ID field, then determines the Short name and Name.

The person responsible selects the classification to which the document will be sorted.

To do this, the person responsible selects the classification: 553 - Projects from the drop-down list in the Classification field.

Warning

The Classification field must be filled in.

If you do not want to set the default classification for all documents in the Archive, select: Not classified from the drop-down list in the Classification field.

The changes are saved by clicking the (Post edit) button in the toolbar.

A Copy statuses window opens, which enables you to copy statuses from existing document types.

The person responsible wants to add statuses from the existing archive DMS0 to the Archive, so the person responsible selects: DMS0 in the Document type field, and marks the selection field Add for Copy Mode.

In the Information window, the person responsible confirms the copying was successful by clicking the OK button.

The PROJ archive - Project documentation for tent assembly is prepared.
