Employee Working Hours Planning

 

Employee working hours planning shows the overview of planned employee work.  It enables you to add absences, insert working hours and copy planned working hours between employees.

1. Calendar

The top left part of the form shows the calendar for the current and next month.

By dragging the mouse pointer you can select the desired days of the month.  Selected days are then shown on the right part of the screen, which is described in more details under topic 7. Review according to the entered Criteria.

2. Shifts

Shown are the shifts set under Settings l Personnel l Time Terminal l Working Hours

When planning, these shifts can be drag&dropped to the desired day for the employee.

3. Add Absence

Adding absences works in the same way as adding shifts.  Drag&drop it to the desired day for the employee.

The following form opens:

Filter Choose status or leave empty for all statuses
Employee Choose one or more employees
Department Choose a department or leave empty to select all
Absence Type Choose an absence type from calendar entry types
Absent From/To Insert absence starting and ending date.  Ending date is mandatory and it must be later than start date
Year Year of absence
Finished If you select this option, the program will close or finish the absence with the date in the To field. The program will enter the information in the Employee files of the employee Absence Overview panel.
From/To If required, you can also enter the start and end time of employee's absence
Print Leave Permit  If  selected, the program will print the leave which will include all elements defined in the program parameters
Working Saturdays With this option you can define if an employee has working Saturdays
Working Sundays With this option you can define if an employee has working Sundays
Non-Working Days

When the checker is selected, then the absences will be written to the employees info for a non-working days (Saturday and Sunday).

The checker will automatically be selected if we already marked it in Absence overview. Here we can manually change the checker. 

Cost Center You can choose a cost center or leave empty to apply to all cost centers
Note You can add a note
Check To-Do Tasks By enabling this option while entering the leave, the program checks for any To-Do tasks assigned to the employee we are about to enter the leave.  If there are open tasks during the leave, we can assign those task to the substitute user.
With a click on this button, the program will open the Absence Overview form
Once, you have defined all required information, you can click on the Create New Absence button

If there are To-Do tasks during the absence time of the employee and Check To-Do Tasks option is enabled, the program open the following form. 

We can choose the substitute user to perform planned work of the absent user.

4. Fill in Calendar

Fill in Calendar button is located Below the Add Absences button.  You can use it to fill in the working hours based on the chosen criteria.

The following fields open:

Read from Employee Files Copy based on the data in Employee files
ID Shift ID
Start Starting date
Planned Working Hours Type Planned working hours  type from the calendar entry types
Employee Choose one or more employees
Department Choose a department or leave empty to select from all
Position Choose a position or leave empty to select from all
Status Choose a status or leave empty to select from all
Active Active option is enabled by default. When enabled copying working hours will be performed only to active employees.
Start  Starting date for copying
End Ending date for copying
Time From / To Starting and ending time for copying
Overwrite existing records in calendars Enable this option if you want to overwrite the existing records an employees already has in calendars
Skip absences Enables this option if you want to skip previously already entered absences
After inserting all the required data click copy to fill in the working hours to the calendar

5. Copy Plan between Employees

If one or several employees need to have the same plan, then we can plan work for one employee and then copy the plan to others.  To copy the plan between the employees click on .

The following form opens:

HINT

Before clicking the copy plan between employees buton position yourself on the employee you selected as the origin.  The field From Employee will automatically be filled with the selected employee. 

Fields are:

From Employee The employee you have as the origin for copying plan to other employees
Date From Copy starting date
Date To Copy ending date
To Employees Choose one or multiple employees
To copy click Confirm

If the employee you selected as the origin for copying working hours to other employees has absence during the period of selected starting and ending date, the following note will pop up:

By confirming it, for the days of absence the plan will not be copied.

6. Criteria

We can filter the view on the right side of the form by selecting from the following parameters:

Fields are:

Employee Select employee or leave empty to view for all employees
Department Select a department or leave empty to view for all departments
Job Select a job or leave empty to view for all jobs
Superior Select a superior or leave empty to view for all superiors
Cost Center Select a cost center or leave empty to show for all cost centers
Calendar Entry Type Select a category entry type or leave empty to view for all
Calendar Select calendar ID or leave empty to show for all
Shift Select the shift or leave empty to show for all
Date From / To Select the beginning and ending date you want to view
Show only active employees If enabled, the search results are going to show planned working hours only for active employees
Show only subordinate employees If enabled, the search results are going to show planned working hours only for the user's subordinate employees.
Reset filter
After enetering the search criteria click filter to view the results

7. Review according to the entered Criteria

On the calendar chosen dates are shown right of the listed employees.

 

There are multiple columns possible to see and the user can modify the column appereance on the screen:

Picture Employee's photo
Employee Employee's name
Reg. No./ID Employee's ID number
Department Employee's department
Weekly Fond Employee's weekly fond 
Skill/Ability Skills and Abbilities listed in the register Positions of Employment
Job Start Start time of Job
Job End End time of Job
Position Position of the Employee
Superior Superior of the Employee
Day and date Date and day of the week for chosen dates

 

Warning

After transfering to Task, the night shift is split into two lines. The first one with the time from the beginning of the night shift until 00:00 hrs and the second one from 00:00 until the planned end of the night shift.
