1. Serial Numbers from Document of Receiving That Can Be Found in the Customs Warehouses Module
The basic difference between the serial numbers of the
Goods moduleand those of the
Customs Warehouses is that the latter are OBLIGATORY because they include both the document ID as well as line number of document of receiving. This way it is made possible to link individual lines of customs reception with those of issues; and so with the mandatory customs warehouse records.
Serial numbers used in the customs warehouse are thus uniquely formatted.
YYDDDCCCCCC-P, e.g. 04900000001-1, where specific parts of the serial number represent:
YY |
two-digit year code |
DDD |
three-digit document type ID |
CCCCCC |
a consecutive six-digit document ID |
- |
a separator placed between the document ID and line number |
L |
a consecutive document line number |
2. Method Selected in the Items Register for Use in Serial Number Tracking Not Necessarily Influencing the Way Customs Warehouse Movements Are Assigned Serial Numbers
The following difference can be observed when treating the issue of whether the item is tracked by serial numbers or not.
a) In
Goods module items are tracked whenever
serial number tracking different from N - No Tracking is set in the
Items register.
b) Besides the above-mentioned criteria you have to select serial number tracking in the Customs Warehouse box in Program Parameters | Goods | General in Administration Panel for use in
Customs Warehouses module.
 |
If you set serial number tracking in Customs Warehouse box in Program Parameters
Goods | General selecting Assign Automatically, you are NOT REQUESTED to enter serial numbers for item in
Customs Warehouses module. The obligatory part of the serial number is assigned automatically, e.g. 04900000001-1, regardless of the selected method od serial number tracking in the
Items register.
|
3. Any Serial Numbers Are Included to the Obligatory Data of Document of Receiving in the Customs Warehouses Module
Let us assume you have selected serial number tracking in the
Goods module (serial number tracking different than N - No Tracking option is set in the Items register). Besides this you selected Track Serial Numbers option in the Program Parameters | Goods |
General in Customs Warehouse box. Hence, the serial number is INCLUDED to the constituent part of number. The equal sign occurs as separator between both parts.
Example:
Enter putaway of 1 item with the serial number 55 to the first line of document 04900000001.
The following serial number 55=04900000001-1 will be assigned to it.
4. Issue Only Those Serial Numbers with the Same Document ID and Line Number in Customs Issue
If serial number tracking is set for item, you can select only those serial numbers that have been putaway with the same line of receiving.
Example:
The following serial numbers 55=04900000001-1, 56=04900000001-1 and 55=04900000001-2 are available.
You can add only the first two serial numbers that have been received with the same document and in the same document line to the same line of issue (55=04900000001-1 and 56=04900000001-1).
If you select serial numbers to be used in issue from different lines of receiving, the following error is returned (see
Serial numbers/SAD can be only from one line for customs warehouse reception!).
5. Add Lines/Documents Function Is Used Only for Specific Instances When Tracking Serial Numbers in Customs Warehouse
Because serial numbers of the Goods module are different than those in
Customs Warehouses modue, the
Add Documents/Lines function is accordingly customized to the requirements and restrictions of both modules.
5.a. Adding Sales Orders to Customs Issue
Having specified serial numbers in
sales order they are entered accordingly in the order after using the Add Lines/Orders function. The following are found during the process of transferring to customs issue:
- quantity of available serial numbers from the customs warehouse order
- lines of receiving by using which you received individual serial numbers
- A corresponding number of line for picking are created. The discharging of serial numbers is performed from the oldest (last) document ID towards the most recent (first) document ID. Only one line for customs picking is created if there are sufficient serial numbers available already in the first line of the customs putaway. Otherwise as many lines for picking are created as specified in order requirements.
- If there is not enough serial numbers available for use in customs warehouse or if none exist for the order to be executed, you received notification about this in the
transfer statistics.
Example:
I) Let us assume you receive a sales order for 100 items with batch serial number 55 (product variant).
Serial numbers contained in the order:
Serial Number |
Quantity |
55 |
100 pcs |
II) Store this item under the serial number 55 in three lines for receiving in the customs warehouse:
Serial Number |
Quantity |
55=04900000001-1 |
50 pcs |
55=04900000006-1 |
70 pcs |
55=04900000007-1 |
50 pcs |
III) To issue 100 pieces of the item with the batch serial number 55 usetge Add Lines/Orders function. Two lines for customs picking including the following serial numbers are created automatically:
Line Number |
Serial Number |
Quantity |
Line 1 |
55=04900000001-1 |
50 pcs |
Line 2 |
55=04900000006-1 |
50 pcs |
5.b. Adding Purchase Orders to Customs Warehouse
Having specified serial numbers in
purchase order, they are entered accordingly when using Add Lines/Orders function. During the transfer process they are automatically ASSIGNED the obligatory serial number part (document ID and line number) when entering in warehouses. There are created as many lines for entering in customs warehouse as there are lines in purchase order.
Example:
I) Let us assume you have issued a purchase order for 100 items. That is, 50 items including batch serial number (product variant) 52 and the remaining 50 items including serial number 54.
Serial numbers contained in the order:
Serial Number |
Quantity |
52 |
50 pcs |
54 |
50 pcs |
II) Using the Add Lines/Orders function you receive 100 items with the 04900000001 document. That is, 50 pieces including batch serial number 52 (product variant) and 50 pieces including the serial number 54. A line of the entering to customs warehouse including serial numbers is created automatically:
Serial Number |
Quantity |
52=04900000001-1 |
50 pcs |
54=04900000001-1 |
50 pcs |
5.c. Adding Customs Issue to Receiving
If serial numbers are specified for customs issue (that is the additional non-obligatory part of a serial number), then by using Add Documents/Lines to receiving function serial numbers are entered in the customs issue. During the transfer process to receiving the obligatory part of the serial number required for customs warehouse (document ID and document line number) is REMOVED. There are created as many lines of receiving as there are lines in customs issue.
Example:
I) Let us say that two lines were created in customs issue containing the following serial numbers:
Line Number |
Serial Number |
Quantity |
Line 1 |
55=04900000001-1 |
50 pcs |
Line 2 |
55=04900000006-1 |
50 pcs |
II) Using the Add Documents/Lines to receiving you can receive the 100 items. That is, 50 pieces with batch serial number (product variant 55) and 50 pieces having the same batch serial number (55). Two lines of receiving containing serial numbers are created:
Line Number |
Serial Number |
Quantity |
Line 1 |
55 |
50 pcs |
Line 2 |
55 |
50 pcs |
