Regular Inspections

  

 

The Regular Inspections tab is only visible, when one of the following Subtypes is selected in the Header: Equipment, Company Vehicle, Trailer, Land, or Building. This tab serves to record details about Regular Inspections, such as the inspection dates and the institution that performed them. It also provides a way to monitor when the next inspection is scheduled, based on the defined inspection frequency.

The Regular Inspections tab can be accessed in the Fixed assets, Small Tools and Register-Fixed Assets in Acquisition registers.

The Regular Inspections tab consists of the following functional units:

Meets Standards Check this box if the asset successfully meets all required regulatory or operational standards. This checkbox serves as an indicator of the asset's compliance status following an inspection.

Insp. Date

(Inspection Date)
Records the date on which the asset was inspected. By default, this field is auto-filled with the current date upon creating a new record. However, it can also be manually selected or edited as needed.
Inspection Specifies the type of inspection conducted. The drop-down menu is populated from a predefined list of inspection types. Double-clicking opens the Subjects register allowing the inspection type source to be reviewed or updated.
Institution Identifies the entity or organization responsible for carrying out the inspection. This field is automatically filled based on the selected Institution type but can also be modified via the drop-down list. Double-clicking the field opens the Subjects register. The Institution Type can also be selected within this register.

Report No.

(Report Number)
Enter the unique number of the official inspection report. This provides traceability and reference for audit or compliance purposes.

Certificate No.

(Certificate Number)
Record the number of the certificate issued to the asset following a successful inspection. This certifies that the asset passed the necessary criteria.
Fix Until In cases where the asset does not meet standards, this field allows entry of a deadline by which non-compliance issues must be corrected. It serves as a reminder and tracking point for corrective actions.

Interv.

(Interval)
Defines the inspection Interval in months, indicating how often the asset should be inspected. This value is auto-populated based on settings defined in the Institution Type within the Subjects register but may be manually edited if needed.
Next Inspection Automatically calculated based on the Inspection Date and Interval, this field displays the due date for the next scheduled inspection.
Mailbox Select the employee responsible for managing or coordinating the inspection from the drop-down menu, populated from the Employee Files. Double-clicking this field opens the Employee Files directly. This is typically the person who arranged the inspection or handed over the asset for review.
