Movement

   

 

The Movement Tab allows the person responsible to document internal transfers of Fixed Assets, Small Tools, or Fixed Assets in Acquisition between different departments or locations defined in the Fixed Asset Locations register. This is useful for tracking temporary or permanent relocations of assets, such as when a tool is assigned to another department for a specific project or operational need. Recording such movements ensures accurate asset tracking within the organization. 

The Movement Tab can be accessed from Fixed assets, Small Tools or Register-Fixed Assets in Acquisition.

Examples of how to use Movement Tab are described on the corresponding pages of the User Manual.

 

Movement tab consists of the following functional units:

Line This field displays a sequential number of the movement record, which automatically starts at 1, but it can also be manually filled-in. For each subsequent entry, the field will auto-populate based on the previous entry.
Location Specifies the new location to which the asset is being moved. When a location is selected from the drop-down menu, associated fields Company, Dept. and Cost Ctr. are automatically populated, provided this information has been entered in the Fixed Asset Locations register, which can be opened by double-clicking on this field.
Company The field is automatically populated when Location is selected, provided this information has been entered in the Fixed asset locations register. The Company can also be manually selected from the drop-down menu, which contains selection from the Subjects register. Double-clicking on this field opens the mentioned register.

Dept.

(Department)

Select the Department from the drop-down menu. This data is used in automatic posting of depreciation and revaluation. 

A Department represents an organizational unit or business function within the company (e.g., Administration, Finance, Personnel) and indicates the part of the organization to which the asset is operationally assigned. For more information see Header.

Cost Ctr.

(Cost Centers)

Select the Cost Center from the drop-down menu. This data is used in the Automatic Posting of Fixed Assets, Small Tools and Fixed Assets in Acquisition.

A Cost Center is a financial unit used to track where costs are incurred, such as specific projects or activity. It is used to monitor and manage financial performance. For more information see Header.
Date of Issue The Date of Issue field automatically populates with the current date when a new entry is created. If this date differs from the actual issue date for the assets to a company or department, it can be manually adjusted. This date influences postings to the General Ledger based on the selected posting method.
Expected Return This field is used to record the planned date by which the asset should be returned to its original location or department. It helps in monitoring asset usage and planning future availability,
Returned Use this field to log the actual date on which the asset was returned to its original location or department. This confirms the completion of the transfer or temporary use and ensures that the asset inventory remains accurate.
Quantity

The default Quantity for this field is set to 1, indicating that a single asset has been moved. When tracking Fixed Assets or Small Tools collectively, a value greater than 1 can be manually entered to reflect the total number of items moved.

Clerk

Select the responsible user from the drop-down. This field may be auto-filled based on Fill in Clerk from Subject settings in the Administration Panel, and may be locked or editable.

 

Hint

The Administration Panel contains the Fill in Clerk from Subject settings, which enable automatic population of the Clerk field, along with settings in the Company panel, which determine whether the person responsible can modify the Clerk on documents.

Note An optional field for entering additional context, such as the reason for the transfer or any special handling instructions.

 

Hint

Right-clicking anywhere within the Movement Tab opens a menu with the unique option Change Location of Selected Assets.  This feature allows users to efficiently update the location details for one or multiple selected assets in a single action.

 

Warning

The dates and quantities entered in this tab serve as the basis for Depreciation Calculation. To ensure accurate calculations, entries must be in chronological order, and the total quantity must match the quantity listed in the Header

 

Warning

The data entered in this tab affects Posting Method selected in the Header. The methods associated the Movement tab are:

  • 6 - Cost center from Location tab;
  • 7 - Department and cost center from FA Location panel according to individual locations;
  • 8 - Department from FA Location panel according to individual locations;
  • 9 - Cost center from FA Location panel according to individual locations.
