Task

The Task form enables users to carry out their daily tasks in an organised way. Task records are created during workflows, redirected to the final users by other people or created by users themselves from almost any form in PANTHEON. After saving, the task appears in the person responsible's task list on the To-do form.

The Task form opens either upon clicking on the (Add task) button, located in the toolbar on any PANTHEON form or when double-clicking on a task in the Tab view or Calendar view on the To-do form.

The form consists of elements and functionalities described below.

1. General information and buttons

Title

In a blank field, enter the title of the task you are creating.

Start time

Set the start date and time of the task. Enter the information manually in the field or specify it in the calendar, which appears as a drop-down list:

Button functionalities:

  • Now – Selects the current date and time.
  • Clear – Clears date and time entries
  • Confirm – Confirms/enters data about the selected date and time into the field.

Duration

Duration of the task in minutes. With this data, the program automatically calculates and fills in the time in the End field.

End

The finishing time of the task.

Status

The status of the task is determined from a drop-down list. Available statuses are:

  • Not Started – The task has not been started yet.
  • In Progress – The task is in progress.
  • Completed – The task is complete.
  • Canceled – The task has not been performed, it has been canceled.

Save

Saves all the records that you have entered in the form, closes the form and reports the message: Data was successfully updated.

Duplicate

Creates a copy of the existing task, saves all the records that you have entered into the form and reports the message: Data was successfully updated.

Hint

The form is not closed, so you can correct the data again if necessary or duplicate a task that has already been generated.

Close

Changes the task status to Completed, closes the form and reports the message: Data was successfully updated.

Cancel

Changes the task status to Canceled, closes the form and reports the message: Data was successfully updated.

2. Detailed information

Priority

From the drop-down list, specify the priority of the task. The following prioritities are predefined:

  • 1 – High priority
  • 5 – Normal priority
  • 10 – Low priority

Priorities make it easier for the user to prioritize tasks.

Department

Select the department to which the task is linked from the drop-down list.

Assigned to

Select the user from the drop-down list whom to direct the task to.

Cost ctr.

Select the cost center to which the task is linked from the drop-down list.

Task text

Enter a message to the user to whom you are directing the execution of the task.

3. Workflow and Task type

Workflow

Select the workflow associated with the task from the drop-down list. If you click on the  (Search) button, the Search by form opens.

Run

Runs the selected workflow in the Workflow field.

Task Type

Select the task type from the drop-down list. You can change the settings in the register by double-clicking this field. The Task Type form opens.

4. Links

Add Link

Enables adding a link to the task. When clicked, the Add link to Task form opens.

 (Doc. number)

A hyperlink to the linked document if one is added to the task.

PANTHEON Document

Information about the link type selected on the Add link to Task form.

Delete

Allows you to delete an added link. When clicked, the program returns the message: Do you really want to delete the selected record?'

 

5. Recurrence

Recurrence

If checked, this field allows you to repeat a task and all associated settings.

Period (No./Time unit)

Enter a number into the first field and select the time unit from the drop-down list. You can select between Days, Week, Month and Year.

Until

If the task is an ongoing one, you can set the date until when it should be repeated. The date can be selected by clicking on the calendar which appears as a drop-down list.

The two buttons below:

Today – Sets today's date on the calendar and enters it into the Until field.

Clear – Closes the calendar and empties the record in the Until field.

Recurrences

Enter the number of repetitions. A negative value of -1 means infinity.

WARNING

The Recurrences field is only activated for editing when you delete a date from the Until field.

Reminder

Allows you to set an alert to perform a task. You can select the following options from the drop-down list:

  • No Reminder – The program will not issue a warning to perform the task.
  • 0 minutes – The program issues a warning for the execution of the task at the time when the task is scheduled to be executed.
  • 5/10/15/30 minutes/1 hour/1 day etc.– The program issues a warning that amount of time before the task is scheduled to be executed.
