Label

Document Barcodes

The physical documents received by the company, e.g. envelopes, need to be opened and labeled with a unique identification value, which is usually a sticker with a barcode.

When labeling documents, a corresponding archive and storage need to be defined for each incoming document, which means that the document has been classified.

Using the Document Barcodes form, document barcodes can be prepared and printed to link paper documents to the digital archive in PANTHEON.

The form can be accessed from the Documents form by clicking the (Import/Export Data) button and selecting the Document Barcodes option.

Here is a description of the form and its individual elements.

1. Filter

The Filter section allows you to search for document barcodes that have already been created. It contains the following elements:

Date From

Enter the start date in the field. The program displays the barcodes in the window with prepared barcodes for which the date in the Created On field is equal or later than the date entered.

(Date) To

Enter the end date in the field. The program displays the barcodes in the window with prepared barcodes for which the date in the Created On field is equal or earlier than the date entered.

Archive

From the drop-down list, select the archive type by which you want to filter the display of document barcodes that have already been created.

Collect (button)

Clicking the button confirms your filter selection. The program displays the generated barcodes that match the set filters in the window with the prepared barcodes.

 

2. Preparation

In the Preparation section, new barcodes are prepared for printing using prefixes, suffixes and IDs for the purpose of linking printed documents to PANTHEON archives.

Prefix

Enter any alphanumeric prefix for the barcode code you want to prepare.

Suffix

Enter any alphanumeric suffix for the barcode code you want to prepare.

Archive

From the drop-down list, select the archive type that will be part of the barcode code you want to prepare.

No. of digits

In the No. of digits field, specify the length of the barcode digits. From 3 to 20 digits can be entered.

No. of labels

In the No. of tags field, specify the number of barcodes you want to prepare.

Prepare (button)

Clicking the button prepares the document barcodes based on the selected parameters. The barcodes are displayed to the right of the Filter section.

 

3. Window with prepared barcodes

The section displays the prepared barcodes based on the parameters selected in the Preparation section. It contains the following elements:

Sel. (Select)

Check the checkbox in front of the barcodes you want to print.

External ID

Shows the generated barcode label with the parameters selected in the Preparation section.

Archive

Shows information on the selected archive type in the Preparation section.

Created On

Shows the date and time of the creation of the document barcodes.

Print (button)

Clicking the button opens a preview of the report 02U – Labels Zweckform 3657 with the prepared barcodes.

Barcodes can then be printed on label paper and placed on physical documents. This way, the documents will be properly classified when scanned together in one batch.
