Attendance

In the Attendance tab you monitor the state of work obligations and various employee absences, on the current day level, or on a longer time period level (e.g. on a monthly level).

The user needs the proper authorisations to monitor the work obligations of the other employees.

The screen can be divided into the following sections:
- The Toolbar with tabs and action buttons
- The Header with the search criteria
- The Attendance list of the employees

The toolbar has tabs that lead to the other parts of Work records: My records, Requests, Leave and the following action buttons:

There are two shortcuts in the Wizards button:

Export
|
By clicking the Export button, the current selected work records are exported into an Excel file as:
- Working time records.xlsx – contains information about the working hours.

- Salary import records – contains information for the salary calculation, which can be the basis for further salary calculation.

Print
|
Two reports for the currently selected records can be prepared in PDF format:
- Attendance – balance report.

- Working time records – a detailed report about the Working time records.

The attendance list can be filtered in the header, with the following search fields:
Employees
|
Select one or more employees, for which you would like to check attendance. By default, all employees are displayed. The user needs the proper authorisations to monitor work obligations of the other employees (e.g., of the superior).

Work obligation
|
Select one or more statuses, for which you would like to check attendance. By default, all employees with all the statuses are displayed. The statuses can be set at will in the Settings | Work records menu, in the Work obligations and Leave, sick leave tabs.

Display type |
By default, when opening the form, a custom period is selected, namely the current date (see From/To below). Pre-defined periods can also be selected: last 10 days, last month and last quarter. |
From/To
|
By default, the current date is applied when the list is opened, but you can change it or display a longer period of time.
|
Employment status
|
From the dropdown menu, select one or more employment statuses ( Full time - fixed term, full time - permanent, etc.), for which you would like to check attendance. The employment status can be edited in the General data of the employee.

Status |
From the dropdown menu select:
- Active – employees, who are active users of the program, are marked with this status.
- Inactive – employees, who are not active users of the program (former employees), are marked with this status.
By default, the active status is selected when opening the form. The status can be changed in the Subject general data.

Here is a table with data about the employee attendance. It displays data according to the conditions or filters selected in the header. It shows the employee their attendance, and the superior with the proper authorisations the attendance of all the employees.

Last and first name |
Name and surname of the employee from the Subject general data.

IMPORTANT
By clicking the Last and first name of the employee, My records – an overview of selected data about the employee opens up.

Current status |
Represents the current status of the employee, e.g., if they are on lunch break, absent, or doing regular work, etc.

IMPORTANT
The current status is displayed only if the same date is selected in the From/To filter. If the selected interval here is longer than one day, the statuses are not displayed.

The color of the frame and the status icon can be determined at will in the Settings | Work records menu, in the Work obligations and Leave, sick leave tabs.

Arrival |
The time of arrival of the first work obligation of the current day is recorded, e.g., the start time of regular work or absence.

IMPORTANT
The current status is displayed only if the same date is selected in the From/To filter. If the selected interval here is longer than one day, the statuses are not displayed.

Activity in period

|
Shows the duration of an individual work obligation (regular work, lunch, etc.) or absence during the selected period. |
Departure |
The time of arrival of the last work obligation of the current day is recorded, e.g., regular work or the end of absence.

WARNING
The current status is displayed only if the same date is selected in the From/To filter. If the selected interval here is longer than one day, the statuses are not displayed.

Planned |
Displays the planned working hours, that the employee should complete in the selected period, and it is the same as the planned working hours from the My records tab.
Work is planned with the Work records schedule in Settings | Work records.

Actual |
Displays the actual working hours for a selected period, which is the same as the actual working hours from the My records tab, only it does not include absences (leave and sick leave). |
Accounted |
Displays the accounted work hours for a selected period, which is the same as the actual work hours from the My records tab, and it includes absences.
The accounted working hours are edited with time intervals and work obligations settings in Settings | Work records.

Absences |
Displays the hours of absence, like leave and sick leave for example. The latter can be edited in Settings | Leave, sick leave. |
Balance |
Displays the sum of the hours, which is the same as the balance from the My records tab. |
