This option can be used when importing e-Slog XML
documents, if you have an item ID a business partners has listed in his
invoice recorded in the External IDs section of
the Items register. If an external ID has not been entered in this table, it
is assumed that the partner in uses the same Item ID that you have listed in
the Items register (the ID listed in the header of the entry for an item in
the Items register).
This means that:
- the supplier has assigned the same IDs to his items as you have (you
use EAN code or a common register), and
- you strictly all external IDs that differ from your IDs in the External
IDs table (for example, encoding with EAN codes and strict entry of external
IDs for items that do not use this system, such as added services). For
items encoded with EAN codes and used by both parties, additional information
will not be entered in the External IDs section of the Items Register.
Example:
1. Items Register
Items with the following information have been entered in the Items register:
2. Supplier's Invoice
A supplier sends you an invoice through which he supplies you one piece at
a time:
3. Importing a Supplier's Invoice
The invoice is delivered in the XML eslog format when it is imported using
the Import e-Slog Receiving Documents function.
Because you've selected the External IDs, then Item IDs option, the program
will find the IDs of the items reported in the XML document by first searching
in the External IDs section of the Items register.
If they cannot be found there, it will directly use the item ID.
a) You've entered the external ID 1 for the item with the ID 1
in the External IDs section of the Items register.
The program will find this information here when importing information from
the XML file (see the first row in the illustration).
b) External ID 2 has not been entered in
the External IDs section of the Items register,
but Item ID 2 has been entered in the Items Register (see the second
row in the illustration).

4. Recording an ID - External ID Link
Will the link between the ID 2 and the external
ID 2 last?
That depends on whether or not you've selected the
Add Missing External IDs to Items Register at Import option.
a) If this option IS selected, information about
the external ID is also recorded in the Items register when you import information
into a receiving document.
b) If this option is not selected, the Item ID will be used to import other
positions, and the External IDs section of the Items register will remain unchanged.
When using this type of search, linking the two IDs will not make a big difference.
