Animal entry (general)

When the owner brings their animal to the veterinary clinic for the first time, the receptionist or veterinarian registers it in the program, where a unique code for the animal is created.

In this chapter, we will present a general example of creating a new code for an animal, using a dog as an example. The functionality is located in the menu Veterinary | Codebooks |​ Owner and animal codebook.

CASE DESCRIPTION

The owner, Peter Pritlikavi, brings his new dog named Archie to the veterinary clinic for the first time to arrange the transfer of ownership for the animal. During the first visit to the veterinary clinic, the veterinarian or receptionist first registers the animal in the codebook with all accompanying data (previous records). The process of creating a new animal code will be carried out with the following steps:

  1. Searching for the owner's code
  2. Entering data in the Basic data tab
  3. Entering data in the Dogs tab
  4. Entering data in the Documentation tab
  5. Entering data in the Custom fields tab
  6. Printing data about the animal

1. Searching for the owner's code

The responsible person at the veterinary clinic first checks or searches for the owner's code, where they can then create a new code for the animal. 

The detailed procedure for searching for the owner is described in the chapter Searching for the owner or animal in the codebook.

WARNING

If the owner is not yet registered in the PANTHEON VET program, the responsible person first registers the owner and then the animal. Read more detailed instructions in the chapter Adding a new owner. 

2. Entering data in the Basic data tab

The responsible person at the veterinary clinic registers the animal in the PANTHEON VET program. The owner provides the animal's documents (Passport, Pedigree, or other), where the data is recorded, or the responsible person obtains the data from the owner. 

  • The responsible person clicks the button + New, located in the function bar. 

  • In the tab Basic data fields for entering new data are cleared, where the responsible person will enter the data about the new animal.

  • In the field Animal ID they enter, in our example, a 15-digit ID code (chip number) for the dog: 705123456998005.

WARNING

In the field Animal ID you can enter a varying number of characters, but it is crucial that no two animals have the same ID record, which the program also warns you about.

  • In the field Animal name the responsible person enters the animal's name: Archie.

  • From the dropdown menu in the field Gender they select: 1-Male

  • In the field Animal type from the dropdown menu, they select, in our example: Carnivores.

TIP

The animal type codebook is pre-configured in the program, and then you simply select options from the dropdown menu. Read more about the settings in the chapter Animal type codebook.

  • The responsible person continues entering data in the field Animal category, where they select from the dropdown menu, in our example: Dog.

  • In the field Breed from the dropdown menu, they select: Miniature Pinscher.

  • They also determine the animal's status in the field Status: 1-Alive.

  • They enter the animal's date of birth in the field Date of birth: 27.06.2022.

TIP
  1. The field Note, is available where you can enter any text or note related to the animal.
  2. In case of animal specifics, select the appropriate description from the dropdown menu in the field Specifics . Multiple fields are available for recording specifics. 

 

  • The responsible person completes the entry of the animal's basic data and clicks the button Save, located in the function bar. 

3. Entering data in the Dogs tab

After entering the animal's basic data, the appropriate tab is created based on the selected animal type. In our example, the tab Dogs was created. The responsible person will then enter more detailed data about the dog. The detailed procedure is described in the chapterDog entry

4. Entering data in the Documentation tab

  • The owner has also brought documents (reports) from the animal's records. The responsible person at the veterinary clinic reception will attach the reports and other documentation to the animal's electronic archive.
The responsible person first scans the documents (if they are in physical form) and saves them to a designated location.

WARNING It is necessary to pre-configure the location or folder from which the PANTHEON VET program imports documents into the animal's Documentation. Read more about the settings in the chapterDocumentation

5. Entering data in the Custom fields tab The responsible person collects additional data about the animal, which will be recorded in the tabCustom fields

WARNING It is necessary to pre-configure or activate Custom fields in theAdministrator console , where you will enter additional data. Read more about the settings in the chapterCustom fields

In our example, they will record who the previous owner of the animal was. In the field Previous owner

they enter: Metka Oblak.

5. Printing data about the animal 

  • If the responsible person wants to check or print the data about the dog for the owner, they do so as follows. They click the button Print. A new form window opens

  • Print owners and animals. The responsible person selects the print option: 6VM and clicks the button

Print.
